Adriana's is seeking an Events & Contest Coordinator. The Events & Contest Coordinator will be responsible for planning, organizing, and executing events and competitive activities that align with the organization's goals and brand image. This role ensures seamless coordination of logistics, participant engagement, sponsorship management, and post-event evaluation to deliver high-quality experiences. Key Responsibilities 1. Event Planning & Execution Plan and manage end-to-end execution of events (online and offline). Develop event timelines, budgets, and project plans. Coordinate venue selection, vendor negotiations, and logistics. Ensure compliance with safety, legal, and organizational guidelines. Oversee on-site event setup, operations, and breakdown. 2. Contest Management Design contest frameworks, rules, and judging criteria. Coordinate registration processes and participant communication. Liaise with Upper Managers and Directors. Monitor contest progress and ensure fair evaluation. Organize award ceremonies and recognition programs. 3. Stakeholder & Vendor Coordination Collaborate with marketing, design, and operations teams. Manage relationships with sponsors, partners, and vendors. Negotiate contracts and ensure deliverables are met. 4. Marketing & Promotion Support promotional campaigns for events and contests. Coordinate with digital marketing teams for social media, email, and website updates. Track registration numbers and engagement metrics. 5. Budget & Reporting Prepare and monitor event budgets. Track expenses and process invoices. Conduct post-event analysis and prepare performance reports. Gather feedback from participants and stakeholders for continuous improvement. Qualifications Bachelor's degree in Event Management, Marketing, Communications, Business Administration, or related field. 2-4 years of experience in event planning or contest coordination. Strong project management and organizational skills. Excellent communication and interpersonal abilities. Ability to manage multiple projects under tight deadlines. Proficiency in MS Office and event management tools. Bilingual in English and Spanish Key Skills Event planning & logistics Budget management Vendor negotiation Public relations Problem-solving Time management Attention to detail Preferred Attributes Experience managing large-scale competitions or corporate events. Familiarity with digital event platforms and registration systems. Creative mindset with strong execution capabilities.
