Venue and Events Manager Reports To:
Executive Director Position Overview:
The Venue and Events Manager oversees both the physical operations of our event space and the logistical planning of the events themselves. This role manages event sales, client and vendor relations, marketing, communications, and venue upkeep. The goal is to deliver seamless and high-quality experiences for clients and guests at Darlington House.
Key Responsibilities:
1. Event Management & Client Communications
  • Serve as the primary point of contact for all client communications.
  • Identify and pursue new client opportunities. Gather and analyze customer and competitor data.
  • Develop and implement strategies to increase conversion rates and ROI.
  • Research local competition and industry trends to ensure competitive pricing and offerings.
  • Attend local vendor and networking events.
  • Collect and maintain all relevant insurance and event planning documents. Manage client files.
  • Monitor customer satisfaction and address complaints professionally and promptly.
  • Request and manage client reviews for marketing purposes. 2. Event Vendor Relations
  • Maintain preferred vendor lists and serve as the primary point of contact for vendor communications.
  • Collect, review, and maintain vendor licenses and insurance documentation.
  • Track event bookings per caterer and manage related records.
  • Solicit and track vendor donations to the Social Service League.
  • Coordinate site visits, tours, and walkthroughs for vendors and clients.
  • Attend vendor networking events to foster relationships and stay current with industry trends. 3. Social Service League Events
  • Manage and update the organization's mailing list database.
  • Prepare event materials, including sign-in sheets, agendas, and nametags.
  • Communicate with caterers, valets, entertainment, and rental vendors regarding event needs.
  • Create print and digital marketing materials, invitations, and check-in lists.
  • Maintain RSVP and attendance lists for all member events.
  • Coordinate event timelines and task lists in collaboration with staff and volunteers. 4. Marketing and Communications
  • Develop and manage marketing campaigns for the venue.
  • Oversee and maintain the venue's presence on social media platforms (e.g., WeddingWire, The Knot, Instagram).
  • Conduct tours, finalize sales, and confirm bookings with prospective clients.
  • Draft and finalize client contracts detailing financial agreements and venue policies. 5. House & Facility Management
  • Ensure Darlington House and gardens are maintained in pristine condition; conduct regular reviews and address maintenance needs.
  • Set cleaning vendor schedules that coordinate with event timelines.
  • Communicate project and cleaning needs to Venue Attendants.
  • Monitor and restock house supplies, coordinating with the Operations Specialist for orders.
  • Report repair needs to the Property Manager and follow up on event notes from Venue Attendants. 6. Staff Supervision
  • Manage Venue Attendant schedules. All Venue Attendants report directly to the Venue & Events Manager.
  • Provide training, coaching, and feedback to Venue Attendants.
  • Participate in the recruitment and screening of Venue Attendant applicants alongside the Executive Director.
  • Foster positive and effective communication among venue staff.
Other Duties:
Perform additional tasks as assigned by the Executive Director.
Pay:
$70,000.00 per year
