Job Description
The Venue & Events Manager oversees the planning and execution of private and public events at a high-volume cultural center and event venue. This role manages venue scheduling, event logistics, staffing coordination, client communication, and day-to-day operational oversight to ensure seamless events and exceptional guest experiences. The ideal candidate is highly organized, a strong communicator, proactive, and comfortable managing multiple priorities in a fast-paced environment. Key Responsibilities Event Planning & Production Serve as the primary client contact from inquiry and contract preparation through event execution and post-event follow-up. Serve as the primary client contact from inquiry and contract preparation through event execution and post-event follow-up. Conduct site tours and present the venue to prospective clients. Coordinate all event logistics, including catering, rentals, AV needs, timelines, floor plans, and vendor communication. Oversee on-site set up, execution, and breakdown, resolving operational and technical issues in real time. Set up and troubleshoot audiovisual equipment, including microphones, speakers, PA systems, projectors, and presentation equipment. Create online ticket listings and registration links for public events using Eventbrite. Venue Scheduling & Administration Manage the venue calendar and coordinate reservations across departments. Prepare event contracts and booking documentation for private events and recurring rentals. Oversee invoicing, vendor reconciliation, and payment requests in coordination with finance. Assist with pricing updates for venue rentals and related services. Staffing & Facilities Management Schedule event staff including bartenders, setup crews, and support personnel. Verify staff hours and payroll information for accuracy. Coordinate with vendors, caterers, security, janitorial staff, entertainers, and contractors. Monitor facility maintenance needs and coordinate repairs or service requests. Maintain inventory of event equipment, furniture, audiovisual equipment, and operational supplies. Ensure event spaces are clean, functional, and event-ready. Skills & Qualifications Minimum 3 years of experience in event management, venue operations, hospitality, or a related field. Strong organizational, communication, leadership, and customer service skills. Ability to manage multiple events and deadlines simultaneously. Experience coordinating vendors, contractors, and event staff. Familiarity with contracts, invoicing, payroll coordination, and event administration. Ability to remain calm and solutions-focused in high-pressure situations. Flexibility to work evenings, weekends, and holidays as required. Technical Skills Google Workspace (Calendar, Docs, Sheets, Drive) Microsoft Office Suite Prismm (event layouts and floor plans) Eventbrite and online ticketing platforms Basic audiovisual equipment troubleshooting Preferred Qualifications Experience working with nonprofit, membership-based, or cultural organizations. Experience coordinating large-scale public events and community programs. Pay Range•$60,000•$70,000
