    Event Coordinator Contractor Own our private events program — from first inquiry to final farewell.
    R O L E D E T A I L S

    Freelance Hours:
    Flexible — estimated 5-15 hrs/week to start, scaling with event volume
    Location:
    On-site for event days, remote for coordination and outreach
    Compensation:
    Commission on closed bookings + flat fee per event day; rates negotiable based on experience
    A B O U T T H E R O L E
    We host private events in our café space — wedding welcomes, graduation parties, business gatherings, cocktail hours, baby showers and more! We're looking for a contractor who already lives and breathes event planning to take full ownership of this program: responding to inquiries, closing bookings, coordinating logistics on event day, and actively building our private events business through outreach and relationship-building. This is a meaningful, independently run role with real room to grow as demand increases.
    W H A T Y O U ' L L O W N
    Client experience & event execution
    • Manage inbound private event inquiries across all channels and respond promptly to prospective clients
    • Conduct client consultations and guide the planning process from concept to execution, serving as their primary point of contact throughout
    • Handle all event documentation and administrative tasks including proposals, contracts, and invoices
    • Oversee event setup, execution, and breakdown — coordinating with our café team to ensure every detail is executed to plan and every guest feels taken care of
    • Conduct post-event evaluations to gather client feedback and identify areas for improvement
    • Identify opportunities to upsell additional services or packages to enhance the client experience and revenue New business development
    • Proactively identify and pursue new event leads across corporate, community, and social markets
    • Cultivate relationships with referral partners and vendors to drive bookings
    • Represent the café externally and seek opportunities to raise the profile of our events program
    • Continuously look for ways to strengthen and grow the program — from pricing and packaging to new event formats
    W H O W E ' R E L O O K I N G F O R
    • An active event planner or organizer with a portfolio of real events — this is a must
    • Strong communicator who's warm, professional, and great at reading clients
    • Highly organized and self-directed; comfortable working with minimal oversight
    • Comfortable with both the creative side (helping clients envision their event) and the operational side (contracts, timelines, logistics)
    • Existing network of vendors or referral partners is a big plus
    • Experience with café, hospitality, or F&B event formats a bonus
