Job Description

About the Role We're looking for a highly detail-oriented and exceptionally organized Event Coordinator to support the planning, preparation, and execution of firm events, outreach initiatives, and internal gatherings. This role is highly collaborative and works closely with our Community Partner/Outreach and Marketing teams to ensure cohesive, well-coordinated events. The purpose of this position is to help educate the community, expand firm awareness, and drive potential clients to attend meetings that ultimately convert into engaged clients. It is a hands-on, logistics-focused role ideal for someone who excels at organizing details, anticipating needs, and creating seamless event experiences. Key Responsibilities Plan, prepare, and attend a wide range of firm events, including internal gatherings, community outreach activities, client-facing initiatives, educational dinner seminars, professional panel discussions, informal coffee-and-conversation sessions, and other program formats. Attend 8-10 events per month, including 1-2 evening events per week, with a flexible schedule to accommodate event timing. Continuously manage all phases of event planning, from handling immediate event details to coordinating logistics and securing arrangements for future events, ensuring smooth execution and alignment with the firm's long-term goals. Schedule planning meetings with referral partners, confirm event details, and coordinate logistics such as venue setup, catering, materials, and AV support. Ensure timely communication of upcoming events to relevant departments. Prepare and organize event materials, signage, and supplies. Track RSVP lists and attendance, and follow up with participants as needed. Coordinate with vendors and service providers, ensuring clear communication and timely delivery of services. Support post-event wrap-up, including feedback collection, file organization, and photo/document archiving. Provide general administrative assistance to the Outreach and Marketing team, including data entry, travel coordination, and expense documentation. Qualifications 1-3 years of experience in business event coordination. 3 years of experience in office administration, or a related field. Excellent organizational and multitasking skills with strong attention to detail. Clear and professional written and verbal communication. Proficiency in Google Suite, Microsoft Office Suite (Word and Excel) and familiarity with project or event management tools. Ability to work collaboratively and maintain a positive, solutions-focused attitude. Comfortable in a fast-paced environment with shifting priorities and deadlines.
Pay:
$40,000.00 - $50,000.00 per year
