Minimum Qualifications:
Bachelor's degree in Event Management, Marketing, Communications, or a related field. Minimum of 3 years of professional experience in event production, catering, or hospitality management for Event Producer. If less experience you can be considered for a more Jr. position. Demonstrated success managing multiple large-scale or high-profile events from planning to execution. Excellent interpersonal skills to collaborate effectively with diverse internal and external stakeholders.
Preferred Qualifications:
Experience in a fast-paced agency or hospitality group environment. Certification in event planning or project management (e.g., CMP, PMP). Familiarity with Cvent, Eventbrite, or similar event management platforms. Knowledge of current trends in event design, technology, and experiential marketing. About the
Role:
EVENT PRODUCER
The Event Producer is responsible for end-to-end planning, coordination, and execution of
ONTHEMARC
events - from proposal through post-event evaluation - delivering brand-aligned, operationally precise experiences for clients and guests. Reports to the Director of Production and partners closely with Sales, Operations, Culinary, and Service to ensure seamless delivery and exceptional experiences.
RESPONSIBILITIES EVENT PLANNING & PRODUCTION MANAGEMENT
Develop comprehensive event plans that align scope, timelines, budgets, and resource needs from booking through completion. Coordinate all production needs post-booking with consideration for venue look, feel, décor, and guest flow. Create floor plans, Run of Show documents, and detailed execution materials that ensure accurate, organized delivery. Complete packing lists to ensure accurate pack-outs, efficient load-ins, and smooth returns.
CLIENT COMMUNICATION & RELATIONSHIP MANAGEMENT
Serve as the primary point of contact for assigned events from booking through post-event evaluation. Maintain email correspondence with clients from booking through event completion, confirming logistics and managing expectations. Manage client relationships throughout the planning process, ensuring a clear, responsive, and professional experience. Proactively maintain repeat client relationships and request post-event reviews across relevant platforms. Schedule and conduct tastings for current and prospective clients, capturing feedback and confirming next steps. Accompany Sales Managers on client walk-throughs and support event advancement through clear follow-up and documentation.
TRIPLESEAT DOCUMENTATION & FINANCIAL ACCURACY
Generate proposals, BEOs, invoices, and contracts via Tripleseat, ensuring accuracy, approvals, and timely distribution. Manage changes and client requests by updating documentation promptly and maintaining clear version control. Track budget-related details and confirm final deliverables with internal teams to ensure what's sold is what's executed.
RENTALS & VENDOR COORDINATION
Coordinate and source all rentals for events, ensuring items match specifications, brand standards, and event requirements. Liaise with outside vendors aligned with the OTM brand to ensure consistent, high-quality service delivery. Confirm vendor schedules, deliveries, pickups, and setup requirements, resolving issues early to protect timelines. Meet rental companies for deliveries as needed, verifying accuracy and addressing discrepancies on-site.
STAFFING & ON-SITE EVENT LEADERSHIP
Create staffing position sheets and day-of communications that set clear roles, timing, and expectations. Serve as an Event Captain for assigned events or communicate all event information to the Event Captain responsible for day-of execution. Oversee setup, execution, and breakdown to ensure adherence to timelines, design standards, and client expectations. Manage staff on-site as needed to support logistics, pace of service, and overall event flow. Troubleshoot on-site challenges with composure and efficiency, escalating appropriately while protecting the guest experience.
ADMINISTRATIVE SUPPORT & CONTINUOUS IMPROVEMENT
Provide clerical, record-keeping, and office support as needed; support other projects and tasks as reasonably assigned. Collaborate with Operations and Culinary teams to ensure accurate pack-outs, returns, and reconciliation. Participate in post-event evaluations to assess outcomes and identify opportunities for improved processes and client satisfaction. Contribute to team-wide best practices that increase consistency, efficiency, and quality across events.

Role:
JUNIOR EVENT PRODUCER
The Junior Event Producer supports end-to-end planning and execution of
ONTHEMARC
events, building strong fundamentals in client communication, documentation, and day-of leadership. Reports to the Director of Production and works under the guidance of senior producers while serving as an Event Captain for assigned events.
RESPONSIBILITIES EVENT PLANNING & DOCUMENTATION
Collaborate with clients to understand event vision, objectives, and priorities, translating needs into clear plans. Build detailed event plans, timelines, and schedules that align to
ONTHEMARC
standards and client goals. Coordinate menu selections and applicable creative elements (including décor) to support the overall event experience. Update menu selections, BEOs, invoices, and contracts via Tripleseat, maintaining accuracy and version control. Create floor plans and Run of Show documents as needed to support smooth execution and clear team alignment. Complete packing lists to ensure accurate pack-outs and efficient returns. Communicate complete event information to the Culinary team and the assigned Event Captain (or serve as Captain when designated), ensuring teams have what they need to execute.
CAPTAINING & ON-SITE EVENT EXECUTION
Attend and Captain 1-2 events weekly, including events produced by other team members, to build operational knowledge and team connection. Work most Saturdays (approximately 40 Saturdays per year) based on business and event schedules. Oversee event setup and breakdown, including equipment and rental deliveries, ensuring accuracy and readiness. Manage on-site staff including servers, food runners, station attendants, bartenders, and porters to maintain pace and standards. Run event timelines to ensure each element lands as planned and client expectations are met. Troubleshoot on-site issues calmly and quickly, escalating as needed while protecting the guest experience.
VENDOR & CLIENT MANAGEMENT
Serve as a main point of contact for assigned clients, providing updates, confirming logistics, and managing expectations. Handle communications across OTM, clients, venues, and vendors to maintain clear alignment and timely follow-through. Coordinate rentals for events, ensuring orders match event requirements, specs, and timelines. Liaise with outside vendors aligned with the

brand to ensure consistent, high-quality service delivery. Support contract coordination and vendor relationship management to enable seamless execution (including basic negotiations as assigned). Schedule and conduct tastings for clients, capturing feedback and confirming next steps. Schedule client walk-throughs to verify event logistics, flow, and location-specific requirements.
ADMINISTRATIVE & OFFICE SUPPORT
Maintain organized records and documentation to support accurate planning and repeatable processes. Provide office and administrative support as needed; support other projects and tasks as reasonably assigned.
POST-EVENT EVALUATION & REPORTING
Conduct post-event reviews with clients and internal teams to assess success and capture actionable feedback. Prepare post-event reporting, including any reconciliations, client satisfaction notes, and key lessons learned. Apply insights to improve future planning processes and execution standards. Request client reviews across relevant platforms to support ONTHEMARC's reputation and repeat business.
