Programs and Events Coordinator Department:
Turner Center for Entrepreneurship and Turner School for Entrepreneurship & Innovation Reports to: Executive and Academic Director of the
Turner School Appointment:
Full-Time; 40 hours per week/12 months per year
Status:
Exempt This position is a joint appointment between the Turner Center for Entrepreneurship (TCE) and the Turner School of Entrepreneurship and Innovation. The position formally reports to the Executive and Academic Director of the Turner School of Entrepreneurship and Innovation (TSEI) with indirect reporting to the Director of the Turner Center for Entrepreneurship. The duties are intended to be split 50% for each center on an annual basis with variability on a week-by-week basis according to programmatic and academic needs. The Programs and Events Coordinator must be proactive, mission- driven, resourceful, able to prioritize and balance multiple projects, and exercise good judgment when making decisions. The successful candidate should be able to work independently on a project from start to finish, work collaboratively with others, and complete projects within specified deadlines. Given the nature of the role, the Programs and Events Coordinator must use discretion with confidential information. Duties and Responsibilities include (but not limited to): Turner Center for Entrepreneurship (50%) Program Coordinator (25%) Process intake inquiries from website, email, staff, community partners, and telephone. Monitoring CRM software system daily, for new sign-ups for counseling assistance Participate in the Turner Center and Foster College of Business meetings. Support the management of A Matter of Taste Kitchen, a shared commercial kitchen. Event Coordinator (15%) Responsible for coordinating and managing monthly training events and related outreach activities for all centers under TCE (average 100 events/year). Assist and support in organizing logistics for training events including pre- and post-event activities and reporting requirements. Administrative Support (10%) Maintain all google calendars by scheduling and providing time management tools for all client meetings with center's business advisors. Maintain daily TCE events calendar and team meetings. Responsible for reserving conference rooms for meetings. Supervise and conduct operational office procedures within the center. Assist in document retention, storage and retrieval. Monitor and evaluate systems/procedures, recommend and provide changes to improve delivery of office/client services. Turner School of Entrepreneurship and Innovation (50%) Program Coordinator (15%) Coordinate with internal offices, such as the President and Vice Presidents of the university, College Deans, and support services to facilitate organization and smooth execution of events. Develop and document office processes and procedures to improve efficiency and effectiveness including operation of Monday.com software, organization and maintenance of School's files in Google Drives. Manage and oversee a variety of special projects as they arise, which may include researching information and gathering and synthesizing various data. Prepare reports as necessary utilizing advanced features of word processing, spreadsheets and database software. Manage issues that may be escalated from other external and internal constituents. Oversee programs with international visitors related to the Empowering Women Globally (EWG) program that operates with universities and entrepreneurs in Brazil and India. Event Coordinator (25%) Manage and oversee a variety of special projects, including three annual student competitions, distinguished speaker series, and others as they arise. Coordinate with internal offices and global partners for the EWG program that operates in India and Brazil to facilitate week-long student and entrepreneur immersions to Bradley. Administrative Support (10%) Oversee a broad variety of administrative tasks, including but not limited to managing the director's calendar by organizing meetings and appointments including detailed executive-level documentation. Compile documents for executive-level meetings and presentations, prepare PowerPoint presentations. Administrative supervision of student workers. Attend meetings and take minutes as requested. Coordinate office space logistics including handling facilities requests.
Qualification Requirements:
Experience in event and program planning and execution as well as administrative support. Bachelor's degree; in lieu of a degree, candidates with 7 or more years of relevant experience will be considered.
Preferred Qualifications:
Preference will be given to candidates with experience in higher education and/or knowledge of Bradley University processes and departments. The successful candidate must possess the following characteristics: Excellent interpersonal and customer service skills Excellent oral and written communication skills; attention to detail Excellent Word, Excel, and PowerPoint skills Ability to organize and prioritize multiple assignments with attention to detail and accuracy Ability to handle confidential information with discretion Demonstrated ability to work independently and proactively Excellent decision-making capabilities Ability and skill to understand problems and take initiative to work independently to analyze, develop, and implement solutions
Mental/Physical Requirements:
The selected candidate must have the mental and physical capabilities to perform the essential functions of the position with or without reasonable accommodation. Work is performed in a normal office environment with little exposure to outdoor temperatures or dirt and dust. Working conditions are typically moderately quiet. To facilitate work with various programs across both units, some evening and early morning meetings may be required due to time differences as well as occasional weekend work.
