Title:
Membership Coordinator The Illinois Counseling Association (ICA) is a non-profit organization located in Schaumburg, Illinois, dedicated to enhancing the quality of life in society by promoting the development of professional counselors, advancing the counseling profession, and using the profession and practice of counseling to promote respect for human dignity and diversity.

//www.ilcounseling.org/. ICA is seeking a part-time Membership Coordinator to join our team. This role involves diverse office responsibilities, with comprehensive cross-training in all office protocols.
Work Location:
Schaumburg, IL (One location, not a remote position)
Schedule:
up to 20 hours per week, flexible hours between Monday-Friday 8am-5pm
Compensation:
$17-$19 / hour About the Role The Membership Coordinator serves as a primary point of contact for our valued counseling professionals in Illinois. This role is crucial for managing the member journey from application to renewal, supporting our divisions, facilitating educational webinars, and playing a key part in the successful execution of our annual conference and other association events. We are looking for a highly organized, detail-oriented individual with strong interpersonal skills who is eager to contribute to our mission. Key Responsibilities, but not limited to:
Member Relations Membership Management:
Process new and renewed memberships (online, mail, phone), update/maintain the ICA membership database and website, resolve open invoices, approve online applications and job listings, and coordinate email marketing with the Marketing and Outreach Coordinator.
Division Support:
Provide resources to division and chapter leaders, assist with division elections, manage division databases, generate and distribute weekly/monthly reports, attend division webinars/events as needed, assist with event materials, and issue Continuing Education (CE) certificates.
Legislation & Licensure:
Stay informed of relevant legislation and licensure rules.
Operations Office Administration:
Manage incoming and outgoing mail, maintain office supplies inventory, receive mail regularly, and maintain monthly membership lists and bank deposits.
General Inquiries:
Respond to phone and email inquiries from ICA members, non-members, and the Board of Directors regarding licensure, legislation, membership, benefits, password resets, renewals, and other related topics. This includes researching answers, preparing various correspondence, reports, calendars, and forms, and directing calls/emails appropriately, including those from the ICA website contact forms.
Webinar Administration:
Assist with webinar setup (recording, managing registrations, generating reports), supplement documentation, and provide customer support for accessing trainings.
ICA Conference & Event Support Comprehensive Event Support:
Provide end-to-end support for the annual ICA Conference, board meetings, and other Association events. This includes assisting with pre-event planning, on-site assistance, and post-event tasks.
Qualifications:
Proven experience in membership coordination, administrative support, or customer service, preferably within a non-profit or association setting. Strong interpersonal skills and the ability to build relationships with various stakeholders, including staff, membership, and Board of Directors. Exceptional organizational skills paired with the ability to perform and prioritize multiple tasks effectively. Demonstrated resourcefulness and problem-solving skills. Detail-oriented with a strong work ethic. Excellent verbal and written communication skills. Proficient in Microsoft Office, Google Suite, and Adobe is preferred. Bachelor's Degree preferred.
