Banquet & Events CoordinatorPosition Summary Fort Wayne Country Club is seeking an energetic, organized, and hospitality-focused Banquet & Events Coordinator to join our team. This position plays a key role in planning, coordinating, and executing member and guest events while delivering exceptional service and memorable experiences. Reporting to the Assistant General Manager and working closely with the Executive Chef, Banquet Team, and other department leaders, the Banquet & Events Coordinator is responsible for the successful management of events from initial inquiry through final execution. This individual will serve as a primary point of contact for members, guests, vendors, and internal departments, ensuring every event reflects the high standards and traditions of Fort Wayne Country Club. This is a full-time position requiring a flexible schedule, including evenings, weekends, and holidays based on Club operations. Essential ResponsibilitiesEvent Planning & Coordination Coordinate and manage all aspects of banquet and event operations from initial inquiry through post-event follow-up. Assist in achieving annual banquet and event revenue goals through exceptional service, relationship building, and event execution. Conduct site tours and consultations with prospective clients and members. Prepare banquet event orders (BEOs), contracts, event timelines, room diagrams, and related event documentation. Serve as the primary liaison between clients and Club departments to ensure seamless communication and execution. Maintain accurate event records, calendars, and sales information. Event Execution Oversee event setup, service, and breakdown to ensure all events meet Club standards. Actively supervise banquet staff during events and provide leadership to ensure successful execution. Welcome and assist hosts, members, and guests during events while addressing any concerns promptly and professionally. Monitor event details throughout service and make real-time adjustments as needed to ensure guest satisfaction. Coordinate with culinary, service, facilities, and housekeeping teams to ensure event readiness. Sales & Member Engagement Develop and maintain strong relationships with members, guests, vendors, and community partners. Identify opportunities to increase banquet and event revenue through strategic sales initiatives and member engagement. Assist with the promotion of Club events, weddings, private functions, and social activities. Collaborate with the Club's marketing efforts to enhance awareness of event offerings and drive bookings. Administrative Responsibilities Prepare daily, weekly, monthly, and annual reports related to banquet and event activity. Maintain banquet menus, event packages, pricing guides, and promotional materials. Ensure all event information is communicated accurately and timely to affected departments. Maintain high standards of professionalism, organization, and attention to detail. Qualifications Preferred Experience Two (4) or more years of experience in event planning, catering sales, banquet operations, hospitality management, or a related field. Experience in a private club, country club, hotel, resort, or upscale hospitality environment preferred. Demonstrated ability to manage multiple events and priorities simultaneously in a fast-paced environment. Education Associate's Degree or Bachelor's Degree in Hospitality Management, Event Management, Business Administration, or a related field preferred. Knowledge, Skills & Abilities Excellent interpersonal, communication, and customer service skills. Strong organizational and time-management abilities. Ability to work independently while collaborating effectively within a team environment. Proficiency with Microsoft Office Suite and event management software. Strong attention to detail and commitment to delivering exceptional guest experiences. Professional appearance and demeanor reflective of a private club environment. Physical & Schedule Requirements Expected to work mornings, afternoons, evenings, weekends, and holidays based on Club operations. Ability to stand and walk for extended periods during events. Ability to lift, carry, push, and pull up to 20 pounds regularly and occasionally up to 50 pounds. Ability to move tables, chairs, and event equipment as needed. Must have reliable transportation to and from work daily.
