Events & Exhibitions Specialist Reports to: Vice President of Marketing - Americas Key relationships: Americas Sales, Global BU Marketing.Primary Purpose:
Plan and execute all aspects of OI Americas tradeshow and events presence in alignment with marketing strategy and business goals The Events & Exhibitions Specialist plays a critical role in bringing OI Americas to life in front of customers. This position owns the planning and execution of highimpact tradeshows, conferences, and regional events that directly support pipeline growth, brand preference, and customer engagement across the Americas. You will be the central driver behind our event strategy in action-managing complex programs, collaborating with sales and marketing teams, cross-BU stakeholders, and ensuring every event delivers a strong return on investment while creating a memorable brand experience. In this role you will have the opportunity to make a visible impact on revenue, brand presence, and customer engagement driving highprofile tradeshow exhibit presence and regional events strategy that connects leading technology with innovative applications. The candidate will have 5-7 years of proven history of high-quality project management of tradeshow exhibit execution including designing and maintaining detailed project plans, organizing event planning meetings, updating planning status reports, and coordinating all aspects of exhibit execution deliverables, working with tradeshow agencies, industry organizations, and exhibit centers. This role will work with passionate, driven teams across marketing, sales, product management and technical applications.Key Responsibilities:
Lead End-to-End Event Execution:
- Own the planning and delivery of all Americas tradeshows, conferences, and regional workshops-from kick-off and goal setting through postevent analysis.
Create & Implement Impactful Tradeshow Exhibit and Event Experiences Event Experience:
Planning for a positive brand experience for each attendee, effectively communicating OIA's relevant value propositions through the booth experience.Including:
booth layouts, graphics & messaging, instrument selection / presence, and staffingEvent Attendee Engagement:
Design the attendee experience to attract interest and interaction with event attendees including the ability to draw in event floor traffic. Coordinate planning and execution for i-booth talks, booth staffing, use of multimedia & content Manage allTradeshow and Event Related Logistics & Partners External Partner Management:
Agency management (exhibits agency, AV providers, travel and housing, suppliers, , conference etc.),Events Logistics:
Coordinate all event logistics, including booth installation and teardown, shipping, staff schedules, travel and housing, staff registrations, and amenitiesIndustry Relationships:
Serve as the primary liaison with industry associations and vendors, including contract negotiation for exhibit space, sponsorships, and servicesMarketing Inventory Tracking:
Manage, coordinate, and track all marketing collateral stock, including trade show booth elements, demo equipment, accessories and printed material in a central location Own Event Lead and Data Management Own the process to capture attendee data including lead capture/badge scanning, lead routing, post-event attendee data uploads to CRM, demo scheduling Track Performance and ROI Manage event budgets endtoend, including estimates, tracking, invoicing, reconciliation, and reporting Measure success through KPIs such as marketingqualified leads, cost per lead, and pipeline contribution Continuously improve event execution based on data, feedback, and outcomes Indicative Success Measures High-quality project management as measured by booth staff and stakeholder satisfaction Consistently delivering highquality, ontime tradeshow exhibitions that exceed stakeholder and booth staff expectations Drive strong lead generation and measurable pipeline growth return from tradeshows and regional workshops Person Specification - Essential requirements unless stated Education /Qualifications:
Bachelor's degree required, marketing or communications degree preferred 5-7 years of experience managing tradeshows, conferences, or exhibitions-ideally in scientific, analytics, or healthcare industries Ability to travel approximately 50% to support events, tradeshows, conferences and regional workshopsProfessional Skills/ Abilities:
- Demonstrated project management expertise, including managing multiple events at different stages across different BUs simultaneously
- Handson experience coordinating exhibit services, logistics, and onsite execution
- Strong financial acumen, including event budgeting, forecasting, and reconciliation
- Experience with lead capture systems and CRM integration
- Comfortable working in fastpaced, deadlinedriven environments Ability to own the events financial process including budget mgmt.
