Job Description:
The Events Assistant supports the planning, coordination, and execution of institutional events. This role assists with logistical preparation, vendor coordination, event setup and breakdown, and on-site event support to ensure programs and activities run smoothly. The Events Assistant works closely with internal departments, external partners, and event attendees to help deliver professional and well-organized events that support the institution's mission and community engagement.
Responsibilities:
Assist with planning and coordinating events such as conferences, ceremonies, meetings, campus programs, and special events. Track event supplies and maintain organized event inventory. Assist with setup and breakdown of event materials, décor, and equipment. Provide on-site event support including registration, guest check-in, attendee assistance, and problem resolution. Communicate with campus partners, vendors, and service providers to confirm event details. Help manage event timelines, task lists, and preparation schedules. Support event logistics including room reservations, layout planning, audiovisual coordination, catering, signage, and equipment needs. Support preparation of event materials such as agendas, programs, signage, and registration lists. Maintain accurate records, event documentation, and post-event reports. Assist with post-event evaluations and feedback collection. Ensure compliance with institutional policies, safety standards, and event procedures. Other duties as assigned in furthering the mission of the department or institution
Minimum Qualifications:
EDUCATION
High school diploma or equivalent required; associate or bachelor's degree preferred.
EXPERIENCE
1+ years of experience supporting events, hospitality, customer service, or administrative operations preferred. Ability to have a flexible schedule and work weekends and holidays.
KNOWLEDGE, SKILLS, AND ABILITIES
Strong organizational and time-management skills. Excellent communication and interpersonal skills. Ability to work collaboratively with diverse groups of people. Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
OTHER:
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
