Job Description

Overview We are seeking a proactive and detail-oriented Event Coordinator Assistant for a one-day assignment to support the successful execution of a high-profile event. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a passion for delivering outstanding guest experiences. This paid position offers an exciting opportunity to gain hands-on experience in event management, hospitality, and customer service within a dynamic environment. The role requires a dedicated individual eager to assist in all facets of event planning and coordination, ensuring seamless operations from setup to conclusion. Responsibilities Assist with event planning activities, including venue setup, catering arrangements, and logistical coordination. Support negotiations with vendors, suppliers, and service providers to secure favorable terms and ensure quality standards are met. Coordinate guest services, ensuring attendees receive exceptional hospitality and support throughout the event. Help manage event budgets by tracking expenses and assisting with procurement processes. Facilitate communication between team members, vendors, and clients to ensure all parties are aligned on event details. Contribute to marketing efforts by promoting the event through various channels and upselling additional services or packages when appropriate. Oversee on-site operations during the event day, ensuring timely execution of scheduled activities and troubleshooting any issues that arise. Maintain organized records of contracts, catering arrangements, and other essential documentation related to the event. Qualifications Previous experience in event marketing, planning, or hospitality is highly desirable; banquet, restaurant, hotel experience or fundraising background is a plus. Excellent communication skills with an emphasis on customer service and guest relations. Demonstrated organizational skills with the ability to manage multiple tasks efficiently Experience in catering or hospitality environments will be advantageous for understanding guest services and hospitality standards. Ability to adapt quickly in a fast-paced setting while maintaining professionalism and attention to detail.
