This position serves as a bridge between venue management, clients, vendors, and event staff, helping to keep operations organized, timelines on track, and service standards high. The ideal candidate is organized, hospitality-driven, calm under pressure, and experienced in event planning, client relations, and team leadership. This role requires strong communication skills, attention to detail, and the ability to confidently manage both people and logistics in a fast-paced event environment. Availability Requirements Must be available Wednesday through Sunday Must be available to work evenings, weekends, and event days Flexibility to work extended hours during weddings, private events, venue tours, and peak season Key ResponsibilitiesEvent Planning & Client Support Assist with event planning and pre-event coordination for weddings and private events Support clients throughout the planning process by answering questions, reviewing logistics, and helping ensure details are finalized accurately Conduct planning meetings, venue walkthroughs, and follow-up communication as needed Review event timelines, floor plans, rental details, and vendor logistics to ensure event readiness Help clients and guests understand venue procedures, planning expectations, and event-day flow Event Day Leadership & Operations Serve as the on-site lead for weddings and events, ensuring the venue is prepared and operating smoothly Oversee event setup, room flips, ceremony and reception transitions, and overall flow of the day Coordinate with caterers, bartenders and other vendors to ensure timelines are followed Troubleshoot issues quickly and professionally while maintaining a calm, solutions-focused presence Monitor venue presentation, cleanliness, safety, and service standards throughout each event Support opening and closing procedures, including staff assignments, final venue checks, and event wrap-up Team Leadership & Management Lead, support, and communicate clearly with venue staff during setup, event service, and breakdown Delegate tasks and ensure team members understand expectations, timelines, and event priorities Help lead- train staff on venue standards, hospitality expectations, and event procedures Assist management with staffing coordination, workflow improvements, and maintaining smooth event operations Promote a positive, professional, and team-oriented work environment Hospitality & Client Relations Deliver a warm, polished, and professional client experience from initial planning through event completion Build strong relationships with clients, families, and vendors while representing the venue in a positive and professional manner Handle questions, concerns, and last-minute changes with professionalism and excellent customer service Ensure clients feel supported, informed, and cared for throughout their venue experience Administrative & Venue Support Assist with venue scheduling, event documentation, planning notes, and internal checklists Maintain organized records of client details, timelines, vendor information, and event-day notes Support venue tours, inquiries, and follow-up communication as needed Help uphold venue policies, operational standards, and service expectations Qualifications 2+ years of experience in event planning, venue management, hospitality, catering, or a related client-facing role preferred Strong background in event execution, hospitality, client relations, and team management Experience working weddings, private events, or high-touch hospitality events strongly preferred Excellent organizational skills and attention to detail Strong written and verbal communication skills Ability to multitask, problem-solve, and remain calm under pressure Comfortable leading teams, managing timelines, and making real-time decisions during events Proficient with email communication, planning documents, timelines, and event coordination tools Able to lift, move, and assist with event setup as needed Reliable transportation and consistent availability Wednesday-Sunday required Ideal Candidate Traits Warm, polished, and service-oriented Highly organized and proactive Confident leader with strong follow-through Calm under pressure and solutions-focused Able to balance client hospitality with operational efficiency Passionate about weddings, events, and creating memorable guest experiences managing vendor arrivals and timeline execution overseeing bridal suite / venue & events staff training + opening/closing checklists tour support + planning meetings
