The Event Planning Manager plays a vital role in bringing unforgettable meetings, conferences, and social events to life at Hyatt Regency Tamaya. This is a dynamic, high-energy position where no two days look the same. You'll often find yourself balancing multiple moving pieces at once-juggling timelines, client needs, internal coordination, all while keeping every detail aligned and every stakeholder informed.

As the primary liaison between Meeting Planners and hotel teams, the Event Planning Manager oversees all phases of the event lifecycle, ensuring each experience reflects the cultural spirit, hospitality, and heartfelt care that define the Hyatt Touch.

Key Responsibilities

Event Coordination

  • Act as the main point of contact for assigned group and social events, ensuring seamless communication and exceptional service.
    Event Detailing
  • Coordinate agendas, room setups, menus, audiovisual needs, billing instructions, and special requests.
    Cross-Department Collaboration
  • Partner closely with Sales, Event Services, Culinary, AV, and Operations teams to ensure flawless execution.
    Pre-Event Leadership
  • Lead pre-event meetings and clearly communicate event requirements to internal teams.
    Client Relationship Management
  • Host site inspections, maintain strong planner relationships, and provide timely follow-up and post-event communication.
    Record Keeping
  • Maintain accurate event files, room block management, pickup reports, and billing documentation.
    Team Partnership
  • Work closely with an assigned Administrative Assistant and collaborate with the sales team.

Qualifications

A true desire to satisfy the needs of others in a fast-paced environment

Refined verbal and written communication skills

1-3 years of hotel event sales/event planning or comparable experience preferred

Proficiency in general computer knowledge and event-planning systems

Extremely detail-oriented, organized, and able to manage multiple priorities

Prefer two years of hotel experience or completion of an Event Management trainee program
