Job Description
PURPOSE SUMMARY.
Plan, organize, and execute a wide range of events on behalf of Doña Ana County. This includes managing logistics such as venue selection, vendor coordination, budgeting, scheduling, and on-site operations to ensure successful and engaging events.
ESSENTIAL DUTIES.
1.Event Planning and CoordinationDevelop and implement a long-term County event and entertainment strategy aligned with organizational goals and community engagement priorities.

Plan, coordinate, and oversee County events including community events, celebrations, public meetings, dedications, clean-ups, and cultural or historical initiatives.

Coordinate logistics for event setup, tear-down, volunteer activities, vendor participation, and event operations.

Identify, negotiate with, and book musical talent and entertainment for County-sponsored concerts and large-scale events, including coordinating technical riders, performance logistics, and hospitality requirements.

Advise departments on event production strategies including budgeting, logistics, and presentation methods.

Attend and support on-site events and conduct post-event evaluations to identify improvements.2.Vendor, Permit, and Contract AdministrationRecruit, screen, and manage event vendors including food vendors, artists, entertainers, and exhibitors.

Manage agreements and permits related to venues, vendors, rentals, and performers.

Support contract administration, purchasing, and revenue processing.

Ensure compliance with insurance, liability, ADA, safety, and permitting requirements for large-scale public gatherings.3.Collaboration, Leadership, and RepresentationRepresent the County at external meetings and develop community partnerships to expand outreach efforts.

Serve on the County Special Event Review Committee and ensure interdepartmental coordination.

Provide leadership for special projects and initiatives as assigned.

Supervise project staff or volunteers as assigned.

Build and maintain relationships with talent agencies, promoters, arts organizations, and community partners.4. Reporting and Administrative SupportAnalyze event performance metrics and community feedback to guide future programming decisions.

Prepare and present monthly reports and updates to department leadership.

Handle confidential records and communications in accordance with County policy.
ADDITIONAL DUTIES.
Other duties as assigned. Requires a flexible schedule, including evenings, weekends, and occasional holidays.
QUALIFICATIONS.A.
Education. Bachelor's degree from an accredited college or university in HRTM (Hotel, Restaurant and Tourism Management), Marketing, Communication, Public Relations, Public Administration, Business Administration or a related field.

B. Experience. Two (2) years of experience in event planning.

C. Education/Experience substitution. In accordance with County Policy.

D. Licenses/Certifications. Valid driver's license. Must maintain a valid driver's license and an acceptable driving record in accordance with County policy.

E. Other (e.g., post-offer medical exam, polygraph, background check, driver's license record, etc.). Must pass pre-employment background check and driving record check.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED BY THE POSITION
Knowledge of:
Event planning and production principles, including logistics, budgeting, and scheduling.

County policies, procedures, and relevant local, state, and federal regulations related to events, permits, and public gatherings.

Contract negotiation and vendor management best practices.

Entertainment and talent booking processes, including contracts, technical riders, and hospitality requirements.

Marketing, promotion, and audience engagement strategies for public events.

Risk management, safety protocols, and ADA compliance for large-scale public events.

Skill in: Coordinating complex events, including multiple vendors, performers, and volunteers.

Negotiating contracts, fees, and terms with vendors, talent, and service providers.

Preparing, tracking, and managing event budgets and financial recordsBuilding and maintaining positive relationships with internal departments, community organizations, and external partners.

Using technology and software for event registration, scheduling, and communication.

Developing promotional materials and coordinating marketing campaigns for public events.

Ability to: Plan, organize, and execute multiple events simultaneously.

Evaluate and select performers, vendors, and venues based on quality, cost, and community fit.

Provide leadership and direction to staff, volunteers, and external partners.

Handle confidential and sensitive information with discretion.

Analyze post-event outcomes and implement improvements for future events.

Communicate clearly, both orally and in writing, with diverse audiences and stakeholders.
