Job Description

The Coordinator of Advancement Events and Engagement provides operational and logistical support for events across University Advancement. As part of the University Advancement Events team, this position assists with the execution of on-campus, regional and virtual events in support of alumni engagement activities. The Coordinator works with colleagues across Alumni Engagement, Development, Annual Giving and Advancement Communications to help implement event plans and support day-to-day event operations. The role assists with a range of events, including affinity-based programs, reunions and alumni activities, with a primary focus on event logistics, registration support and on-site event execution. This position contributes to Advancement events by supporting coordination efforts and assisting with event preparation and delivery under the direction of senior events staff. The Coordinator reports to the Director of Advancement Communications, Events, Leadership and Board Engagement.
Event Planning and Coordination:
Coordinate planning and execution of University Advancement events, including on-campus, regional and virtual programs, ensuring alignment with engagement and fundraising goals Assist with venue research, vendor coordination and contract management, supporting event logistics from initial planning through execution Develop and manage event timelines, checklists and planning documents to support consistent and effective event delivery Coordinate event details including space reservations, catering, audiovisual needs, transportation and materials
Event Operations and Execution:
Support on-site event operations, including registration, setup and breakdown, under the guidance of senior events staff. Manage event registration processes, including RSVP tracking, guest lists and attendee communications Prepare event materials, including nametags, signage, briefing documents and run-of-show timelines Assist by communicating with vendors, campus partners and Advancement staff during events
Data and Financial Management:
Track event expenses and maintain accurate financial documentation in alignment with University policies Enter and maintain event data in CRM systems (RE NXT), supporting reporting, tracking and future planning efforts Assist with post-event reconciliation and documentation of event outcomes
Team Collaboration and Operational Support:
Work as part of the University Advancement Events team to support a coordinated and consistent approach to events across the division Collaborate with team members to support signature events, including Homecoming, regional programs and donor engagement activities Maintain organized event materials, inventory and storage to support efficient event preparation and execution Contribute ideas and recommendations to enhance event experiences and improve processes across the events team
Professional Representation:
Serve as a professional and welcoming representative of University Advancement at events, providing a high level of service to alumni, donors and guests Build strong working relationships with campus partners, vendors and external stakeholders to support successful event outcomes Other duties as assigned The following Degree is required: Bachelor's Degree The following Experience is required: 6 months of Event Planning Deadline to
