The Spirit Shop Operations Manager and Event Planner is a part-time employee (approximately 20 hours per week year round) who works with Summit financial, marketing and communications and community engagement leadership, and SPA (Student Parent Association) volunteers to manage day-to-day operations, drive sales, maintain inventory, and manage branding of spirit shop items in accordance with guidelines established by the School. The selected individual will be responsible for purchasing and pricing inventory and streamlining financial and operational processes to align with School objectives for the shop. The Operations Manager works with customers as a representative of The Summit, providing a positive point of connection for families. Event planning responsibilities include hands-on leadership for planning and execution of various school and community engagement events throughout the year, during and beyond school hours and days, supporting various Summit department and Center for Community Engagement efforts. Spirit Shop Responsibilities:
Responsible for meeting goals for Key Performance Indicators (KPI) established by the School Lead daily operations of the store during regular business hours and occasional additional hours and special displays to align with community after-school in-school events (held about 6-8 times per year). Work with several different vendors and Marketing and Communications to design and order new merchandise, aligned with brand guidelines, customer feedback and shop goals. Develop and maintain order records and processes, including time for artwork and pricing review, to meet inventory needs, Receive new merchandise, reconcile to packing slips and purchase orders and submit invoice for payment to the school accounts payable department. Process new merchandise and maintain existing inventory through the Square Retail software, tag and display items appropriately in the shop. Manage donations, inventory and sale of items is resale section of the Shop (gently used uniform and spirit wear store) volunteer manager as needed. Process online orders for customer pick-up outside of shop hours Working with Marketing and Communications, develop a marketing plan and schedule, create, and execute a strategy for pricing and discounts. Reconcile Credit Card purchases to Merchant Services Reports. Maintain adequate office/shop supplies necessary for daily operations. Respond to requests from School for special merchandise, POS reports, etc. Lead quarterly meetings with supporting function leadership to review performance, analyze reports and plan for inventory, pricing and marketing needs Communicate with School leadership and volunteers as needed. Maintain a team environment, provide adequate training to volunteers to support the shop. Perform other duties as assigned.
Event Planning Responsibilities:
Work with Head of School Office, Development, Alumni, Admission teams and Center for Community Engagement efforts to support planning, execution and wrap-up of community events occurring on and off campus. Support Summit volunteers on connecting Summit resources and items that may be available for volunteer-led efforts Planning support includes event documentation, entering work order tickets, and physical set-up and preparation activities, after-action reporting, and event management during and following the event.
Qualifications:
Bachelor's degree from an accredited college/university. Previous retail experience recommended. Proficient in the following software applications: Square Retail and MS Suite. Knowledge of retail store financial benchmarks and operational best practices a plus. Strong verbal and written communication with a diverse range of people. Strong organizational and creative attributes Works well with others one on one and in teams. Required to be able to lift up to 25 lbs.
