Events Manager You are not a checkbox person. You are the person who checked the boxes before anyone knew there were boxes to check. caa is looking for an Events Manager who is equal parts logistician, relationship-builder, and road warrior. We host 18 leadership summits a year across the Northeast, Southeast, and Midwest, full-day, high-energy, executive-level events, and we need someone who runs them like a pro without needing their hand held. This is not a conference room job. It is a show-up-and-own-it job. Events are either half-day or full-day. Setup takes place the day before; breakdown is completed the same day as the event. All travel expenses and food and beverage for approved travel are fully covered by caa.

Events run in bursts, sometimes 6 weeks back-to-back, sometimes a quiet stretch of 2 to 3 months. The right person finds that energizing, not unsettling. Event Planning and Logistics Plan and manage all event logistics: venue, catering, AV, seating, materials, and signage Build and own the run-of-show, floor plans, and contingency plans for every event Coordinate shipping, receiving, setup, and breakdown of all caa materials Ensure every event is on budget and on brand Sponsor and Vendor Management Build and maintain strong relationships with venues, AV teams, caterers, hotels, and local staff Ensure all sponsor deliverables are fulfilled: RSVPs, engagement tables, banners, and signage. On average, each event has 10 to 20 sponsors Prepare all guest name tags (200 to 400 each event), table printables, registration materials, and signage Track and manage event budgets with a cost-conscious eye Marketing and Attendance Coordination Partner with Sales and Digital Marketing to drive attendance through phone calls, Eventbrite, newsletters, and LinkedIn Own RSVP tracking and invite list management ensuring a packed house Support promotional efforts across LinkedIn, Eventbrite, and email campaigns Internal Coordination Work with Editorial to coordinate panel prep and speaker sessions Attend speaker prep meetings and align on logistics Own internal timelines and keep lead-up meetings running on schedule Lead the migration of the current Excel-based operations system into a modern project management tool On-Site Execution Run the registration desk and oversee material distribution Troubleshoot in real time, because something always comes up Support speakers, maintain sponsor visibility, and keep the room running smoothly Be the calm in the room so everyone else can be too Ship all caa materials to and from the venue ensuring timely delivery Who You Are:
4 to 7 years of event management or related experience, in corporate, conference, media, or hospitality settings, not exclusively agency side Demonstrated job stability: minimum 2 years per employer, with 3 to 5 or more years preferred. This is a hard filter. For each event in your background, be prepared to share: number of attendees, duration, frequency per month, team size, and your exact role Recap videos or other evidence of corporate event work strongly preferred You have worked full-day, in-person events and know exactly what that takes physically and mentally You communicate clearly, directly, and professionally with everyone from vendors to executives You can manage a budget without being reminded to You don't need a lot of supervision, you need clear expectations and then you go Travel to all 18 events per year is required and non-negotiable What You Bring:
4 to 7 years of event management or related experience Bachelor's degree or equivalent; Marketing or Communications preferred Proficiency in Microsoft Office, Google Drive, Eventbrite, and CRM tools such as Zoho or similar Ability to install and implement modern project management tools (migrating from large Excel-based systems) Strong written and verbal communication Experience managing vendor relationships and event budgets Ability to stay organized and resourceful under pressure Pre-Interview Assignment:
Candidates will receive one tab of the "Launch Conference Mothership," caa's current Excel-based operations system. You will be asked to critique it and propose how to convert it into a modern, functional operational tool. This assignment is sent before the first interview with Abby. What Are the Perks?
