Job Description

Coordinator (Contract) Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.
Summary:
This position plays a pivotal role in orchestrating seamless event experiences from initial planning through post-event analysis. The successful candidate will serve as the central point of coordination for all event-related activities, managing critical details including budget tracking, vendor relationships, attendee communications, and on-site execution support. This role requires a detail-oriented professional who can balance multiple priorities while maintaining accuracy in financial reconciliation and documentation. The position offers the opportunity to work across diverse events, collaborating with internal teams and external partners to deliver memorable experiences that meet organizational objectives.
Job Responsibilities:
Track and monitor event budgets throughout the planning cycle to ensure financial targets are met Prepare comprehensive run-of-show documents that outline event timelines, logistics, and key milestones Manage all attendee communications including invitations, confirmations, reminders, and follow-up correspondence Coordinate with vendors to secure services, negotiate contracts, and ensure deliverables align with event requirements Provide on-site support during live event execution to troubleshoot issues and ensure smooth operations Collect and analyze post-event feedback from attendees, stakeholders, and team members Reconcile event expenses against budgets and prepare financial summaries Document lessons learned and best practices to enhance future event planning processes Maintain organized records of event documentation, contracts, and correspondence Prepare reports, memos, and presentations related to event planning and outcomes Open, sort, and distribute event-related correspondence including emails and vendor communications Perform general administrative duties such as ordering supplies and maintaining filing systems
Requirements:
5-7 years of experience in event coordination, administrative support, or related field 5-7 years of demonstrated experience managing vendor relationships and budget oversight Strong verbal and written communication skills with the ability to interact professionally with diverse audiences Exceptional multi-tasking abilities and time management skills to handle multiple events simultaneously Customer service orientation with strong interpersonal skills for vendor and attendee interactions Ability to work independently with minimal supervision while meeting deadlines High attention to detail and organizational skills to manage complex event logistics Ability to maintain confidential information regarding budgets, contracts, and attendee data Problem-solving skills to address unexpected challenges during event planning and execution Proficiency in budget tracking and financial reconciliation
