The Position:
The Friends of the Light House, an Annapolis-based 501(c)3 organization, is seeking passionate and organized Events Coordinator to help us drive our mission forward. You will play a vital role in designing, planning, and executing engaging events that connect with our community, raise awareness, and generate crucial support. The position provides a flexible 30 hour week with an adjustable in-office/at-home schedule.
JOB SUMMARY & KEY RESPONSIBILITIES
Event Planning Lead the planning, coordination, and execution of four annual fundraising events for Friends of The Light House, ensuring each event meets established revenue goals. Oversee all aspects of event production, including timeline development, venue coordination, logistics management, permit acquisition, secure in-kind donations, sponsorship outreach and fulfillment, and day of volunteer leadership. Work closely with the Board of Directors and Events Committees to align event strategy, goals, and community engagement opportunities. Document event outcomes, volunteer participation, sponsorship fulfillment, and revenue results. Lead post event debriefs, analyze performance against goals, and recommend improvements to strengthen future events.
Vendor Management :
Coordinate with venues, caterers, audiovisual technicians and event suppliers to ensure flawless execution.
Budget Tracking:
Assist in developing event budgets, tracking expenses, andsecuring cost-effective services.
Volunteer Coordination:
Recruit, train, and manage event volunteers to ensurethey have the tools needed to succeed.
Marketing & Outreach:
Design and manage communications to promote events via social media, email newsletters, and local press.
Board Support:
Provide support for and participate in monthly Executive Committee meetings and regularly scheduled Board Meetings and Committee Meetings.
QUALIFICIATIONS
Experience:
1-3 years of event planning, ideally with nonprofit experience.
Skills:
Exceptional project management, communication, and multi-tasking abilities.
