Job Description

Event Coordinator Lead We are looking for an Event Coordinator Lead to join our team! Who are we? Foundry Social is the premier Northeast Ohio entertainment facility, and is located in the heart of Medina, Ohio. We serve guests and clients from Cleveland, Akron, Medina, and surrounding communities. You will be responsible for Event Coordination for all events, taking event related phone calls, responding to event related emails, ensuring the host team is updated and prepared for the day's events, identifying potential event inventory needs, ordering catering and setting up linen drop off and pick up, and other event coordination responsibilities as they are identified. To be successful in this role, the Event Coordinator Lead will possess excellent communication and multi-tasking skills. Ultimately, the Event Coordinator Lead will play an essential role in contributing to our guest satisfaction and group visit to the Foundry Social as well as ensuring all events are conducted exceptionally and efficiently. To be successful in this role, you must display a positive attitude with a smile and be focused on delivering a top-level entertainment experience for each guest as well as have a very flexible schedule that may allow for early morning and late-night events, as scheduled. Duties and Responsibilities
  • The Fine Print Maintain a fun, safe atmosphere for guests.
Work hand in hand with Event Manager on all events and assist wherever possible. Setup new and adjust existing events. Identify inventory issues and catering related requirements. Notify host team of new events and management of new events for scheduling efficiency. Notify appropriate staff regarding event requirements and details to assure event success. Notify BOH and FOH management of events and changes to assure proper event staffing. Complete setup of tables/chairs/linens/TV/dishes/beverages/etc. for events. Complete tear down of tables/chairs/linens/TV/dishes/cleaning/etc. for events. Pick up and delivery of catered, or other, items as required. Post event communication and follow up. Stock inventory and supplies, in a proactive manner, for event related items. Maintains work areas and understands and follows company policies and procedures. Always be on the same page and maintain close communication with the Event Manager to assure event success. Communicate to the Event Manager any issues or situations the Event Manager would want to know about or has directed you to communicate. Able to utilize the POS system. Able to utilize the Event BEO system. Practices good safety, security, and emergency practices throughout the property. Performs all other duties as assigned.   • High school diploma or equivalent plus one year's experience in event or banquet related fields.
Knowledge of basic computer applications such as Microsoft Office, handheld and iPad functionality is required. The ability to operate a computer for inventory, event setup and other documentation. The job requires the ability to lead and guide the work of others and perform multiple tasks concurrently to maintain effective guidance and guest experience. Miniumum 1 year event coordinator experience required.

Courteous, friendly personality and professional appearance. Excellent customer service skills. Excellent phone answering and phone communication skills. Knowledge of food menu and catering items. Basic math and computer skills. Strong communication, and interpersonal skills, ability to handle tense situations with coworkers and guests, calmly and rationally and knowing when to involve managers. Observant, thorough, responsible, and punctual. You do what you say you will do, when you said you would do it and communicate to your manager as soon as you know you will not be able to keep your promise. (Or appropriate persons for who would want to know). Mistakes and broken promises happen, but we can limit the impact through good communication and being responsible. Flexible schedule for very early morning and late night events, with varying frequency. Miniumum 1 year + of Event Coordinator Experience is Required.

WORK ENVIRONMENT AND PHYSICAL DEMANDS
Work is performed in a commercial food service operation environment and entertainment center. Exposure to noise and large gatherings of people are common. Requires working extended hours with little notice. Work pressure and disturbance of workflow occur frequently because of the need to accommodate large or other groups of guests without notice. At times issues will occur which need to be solved quickly and effectively in order to maintain an excellent guest experience. Sometimes these issues need to be solved even in the absence of other staff. You will need to think quickly and act on your feet using good common sense. Work involves the operation of demanding equipment and standing for extended periods of time. Lifting and/or carrying materials weighing up to 30 pounds occurs frequently.
