Position Overview Thomas Agency Group is looking for a reliable, organized, and energetic individual to assist with event coordination, event execution, client support, errands, and other as-needed marketing tasks. This role is ideal for someone who enjoys variety, is comfortable working in a fast-paced environment, and can represent TAG and our clients with professionalism and a positive attitude. Some weeks may be busier than others depending on client needs, event schedules, and seasonal demands. Summer and fall are typically our busiest seasons. This position is as-needed and flexible. You are not required to be on call, but availability, responsiveness, and reliability are important when opportunities arise. Event Coordinator Responsibilities As an Event Coordinator, you will assist the TAG team with planning, coordination, setup, execution, and breakdown of client events.
Responsibilities may include:
Assist with planning and organizing events from start to finish. Work with clients and TAG managers to understand the event vision, goals, and expectations. Help scout, recommend, and coordinate venues that fit the event's size, theme, budget, and needs. Assist with event setup, teardown, and on-site coordination. Coordinate event logistics including seating, signage, décor, displays, table layouts, vendor setup, sound, lighting, and other event needs. Communicate with vendors, staff, and team members to ensure everyone is aligned with the event schedule and expectations. Confirm delivery times, setup needs, supply lists, and event-day requirements. Help manage booth spaces, sponsor tables, client displays, giveaways, and promotional materials. Greet guests, interact with attendees, and represent TAG and our clients in a warm and professional manner. Assist with marketing and promotional efforts at events. Take quality photos and videos during events when needed. Help ensure the venue is left clean and in good condition after the event. Return all TAG materials, supplies, apparel, signage, displays, or event items to the appropriate location within 24 hours after the event, unless otherwise instructed. Complete your TAG Time Card the same day or next day after work is completed. Communicate with your manager if you have questions, need clarification, or need assistance. TAG Runner Responsibilities As a TAG Runner, you will assist with errands, deliveries, pickups, and other support tasks that help keep projects and events moving. Tasks may vary depending on client needs, project deadlines, and event schedules. Some days or weeks may have several tasks, while other times there may be little or no runner work available.
Responsibilities may include:
Pick up and deliver printed materials, signs, banners, flyers, posters, promotional items, or client materials. Drop off marketing materials, sponsorship packets, gifts, referral items, or event supplies to local businesses or clients. Pick up supplies from stores, vendors, printers, or TAG-approved locations. Deliver or return event materials to the TAG office, client locations, or storage areas. Help organize, pack, load, unload, and transport event supplies. Assist with poster placement for events, including requesting permission, hanging posters, tracking locations, and taking proof photos. Run small errands related to events, client needs, office needs, or campaign support. Assist with assembling gift bags, sponsor packets, referral drop items, promotional kits, or event materials. Help keep supplies organized before and after events. Communicate clearly when a task is complete, delayed, or if an issue comes up. Track mileage, receipts, or reimbursement needs when applicable and approved. Follow all TAG procedures for petty cash, out-of-pocket purchases, receipts, and reimbursement requests. Two-Part Role & Pay Structure This position combines two separate types of work: Event Coordinator support and TAG Runner support. Because these responsibilities are different, they are paid at different rates. Event Coordinator Work includes event-day support, setup, breakdown, guest interaction, vendor coordination, client support, and hands-on event execution. Event-day work is paid at $25/hour. Event Planning & Coordination Work includes behind-the-scenes planning, organizing details, assisting with schedules, researching vendors or venues, preparing materials, and helping coordinate logistics before or after an event. Planning and coordination work is paid at $15/hour. TAG Runner Work includes errands, pickups, deliveries, poster placement, supply runs, material drop-offs, and other as-needed support tasks. TAG Runner work is paid at $15/hour. Because this is a combined role, your hourly rate will depend on the type of task you are completing. Each task will be assigned with the approved pay rate before work begins and should be logged accurately on your TAG Time Card. Qualifications The ideal candidate should be: Reliable, punctual, and responsive. Organized and detail-oriented. Comfortable working in a fast-paced environment. Friendly, professional, and confident speaking with clients, vendors, businesses, and event attendees. Flexible and willing to help where needed. Able to follow instructions and ask questions when needed. Comfortable using Google Drive, Google Sheets, email, calendar invites, and group chats. Able to lift, carry, load, and transport event materials when needed. Able to stand or walk for extended periods during events or poster routes. Able to maintain a professional appearance. Must have reliable transportation. Must have a valid driver's license. Must be able to communicate clearly with managers and team members. Schedule This is an as-needed position. Hours are not guaranteed and will vary depending on client needs, events, errands, and seasonal workload. Summer and fall are typically the busiest seasons for TAG events and client activations. You are not required to be on call, but when tasks or events are offered, timely communication and dependability are expected. Dress Code Dress code may vary depending on the event or task. Standard attire is casual to business casual unless otherwise stated. For events, you may be asked to wear: TAG polo Client-branded apparel Event shirt Business casual attire Branded apparel provided by TAG must be returned in clean condition unless otherwise instructed.
