As an integral part of this team, the Events Coordinator contributes significantly to the orchestration of internal and client events, ensuring they consistently uphold the high standards that define our firm. The Events Coordinator will demonstrate unwavering commitment to exceptional customer service will foster enduring relationships with internal stakeholders and valued external clients. The Events Coordinator will be responsible for a diverse array of events, ranging from engaging networking receptions and informative seminars to elegant dinners. The Events Coordinator's purview will extend to critical aspects like financial oversight, budgeting, logistical coordination, negotiation with offsite venues and vendors, on-site event management, and post-event analysis to enhance internal evaluation and accreditation for continued education. Potential candidates must live within commuting distance of our Los Angeles office to be on-site 3 days per week. In this role, you will report to the Events Manager. Essential Functions Provide comprehensive support in planning and executing internal and client events across firm practices, ensuring seamless execution from initial requests through post-event reporting. Assume onsite event management responsibilities, catering to the diverse needs and requests in the Los Angeles office, while collaborating effectively with other offices/teams when necessary. Spearhead meticulous pre-event groundwork, encompassing venue selection, contract negotiations for offsite properties and vendors, and liaising with internal resources. Foster effective collaboration by serving as a key point of contact for internal units such as hospitality, facilities, and audio/visual teams. Implement stringent financial oversight, meticulously tracking and reporting expenditures, while ensuring events remain within budget. Efficiently manage administrative tasks intrinsic to event coordination, ensuring every detail is attended to. Craft and oversee event timelines, tactfully managing key milestones to keep all stakeholders and participants aligned for timely event deliverables. Maintain the department's events calendar. Exhibit meticulous control over event materials and giveaways within our Los Angeles office, ensuring an organized inventory. Cultivate a comprehensive database of event venues and vendors, nurturing relationships with industry counterparts to secure optimal arrangements. Collaborate with the firm's Continuing Legal Education (CLE) team to ensure appropriate accreditation where applicable. Contribute to post-event evaluations through the preparation of insightful reports and meticulous budget reconciliations. Travel to other offices or locations to support events of all sizes as needed. Perform other responsibilities as assigned, demonstrating flexibility and adaptability. Work additional hours as needed to fulfill job requirements. Bachelor's degree, preferably in English, Marketing, or Communications or a related field. Excellent written and verbal communication skills with the ability to develop positive working relationships (in-person and virtually). Meticulous attention to detail and accuracy. Excellent project planning skills. Ability to handle multiple projects from various staff members while maintaining a high level of professionalism. Proven problem solving, critical thinking, and decision-making skills. Trustworthy and reliable, ensuring the firm's standards are upheld. Proficient in Microsoft Suite (Word, Excel, Outlook, Teams). Proficient in database management, InterAction experience preferred. Proficient in web-based conference call/web-sharing applications. policies and safety measures. Compensation The salary range for this role is $60,000 - $80,000. Actual salaries will depend on a candidate's geographic location, relevant experience, and skillset. The salary range listed is just one component of Blank Rome's total compensation package for employees. Other monetary rewards include annual discretionary bonuses based on performance and profit-sharing contributions based on eligibility and firm profitability.
