Role summary:
As the Meetings & Events (M&E) Specialist, you'll partner with the Business Development Director and a team of planners to design, plan, and deliver high-impact client-facing events. You'll blend project management rigor with polished client service to produce events that reflect Heckmann's planning philosophy and brand, strengthen client relationships, and support business development. You will manage budgets, vendors, on‑site logistics, attendee experiences, and cross-functional communications—always with outstanding attention to detail and a commitment to exceptional service for affluent clientele. What you'll do (key responsibilities) Lead end-to-end planning and execution for conferences, client events, workshops, and hybrid experiences—creating the guest journey from concept through post‑event follow-up. Serve as the primary point of contact for event attendees, high‑net‑worth clients, hotels, vendors, and partners, delivering discreet, polished, and proactive service. Own event budgets, financial reporting, and audit files; authorize spend within agreed budgets and recommend cost efficiencies without sacrificing quality. Manage relationships with travel providers, Destination Management Companies, hotels, AV/ production teams, and other suppliers—negotiating contracts and ensuring excellence in execution. Coordinate registration, attendee communications, websites, badges, and reporting—working with outsourced vendors and internal teams to ensure seamless attendee experiences. Partner with Corporate Communications and the Business Development team to align branding, messaging, and strategic goals of each event. Apply a project‑management mindset: create timelines, risk mitigation plans, run sheets, and vendor SLAs; anticipate needs and resolve issues quickly. Design experiences that reflect the "Heckmann Financial Way," collaborating with advisors and leadership to ensure events reinforce client relationships and the firm's planning philosophy. Measure and report event success with relevant KPIs (attendance, NPS/client feedback, budget variance, ROI) and make data‑driven recommendations to improve future strategy. Support change management and process documentation for the M&E team; help scale standardized processes across a growing program. What success looks like Seamless, highly rated client events that strengthen relationships and produce measurable business outcomes. Events delivered on budget with clear, accurate financial reporting and auditable files. Consistent, documented processes and executive-level communications across events. Positive client and advisor feedback; high attendee satisfaction (NPS) and repeat participation. Clear recommendations using event metrics that influence future programming and spending. Who you are (qualifications) Bachelor's degree in Hospitality Management, Events, Business, Communications, or equivalent professional experience. CMP (Certified Meeting Professional) preferred. 5+ years in event/meeting planning, hotel sales, convention services, or related roles—experience handling high‑net‑worth or executive audiences strongly preferred. Demonstrated mastery of event project management, vendor negotiation, AV and hybrid event technology, and on‑site operations.
Strong financial acumen:
comfortable building and owning event budgets, analyzing metrics, and making recommendations to refine strategy.
Exceptional interpersonal skills:
polished presentation, tact, discretion, and ability to interact confidently with clients, senior leaders, and external partners. Excellent communicator and collaborator who can influence without direct authority and lead cross‑functional teams. Proficiency with registration/CRM systems and virtual/hybrid event platforms; comfort with web content, social channels, and event tech. Detail oriented, proactive, able to manage multiple projects under tight timelines; flexible to travel and support occasional after‑hours events. A passion for creating meaningful experiences that align with a client‑centric wealth planning philosophy.
Logistics Schedule:
Hybrid, with flexibility for travel and occasional after‑hours / weekend events.
Location:
Onsite as required for planning and execution.
Reports to:
Director of Business Development and Marketing; collaborates closely with Marketing, Business Development, Advisors, and VP of Operations.
