Job Description

Workshop & Events Coordinator - Overview Chapel of Sacred Mirrors (CoSM) is seeking a full-time Workshop & Events Coordinator to support the planning and execution of CoSM's educational programming, monthly community gatherings, and special offerings. This role supports program logistics, participant communication, artist and instructor coordination, event systems, and administrative organization across CoSM's programming calendar. The Workshop & Events Coordinator works closely with leadership and multiple departments to help ensure programs are organized, welcoming, and smoothly executed from planning through completion. This is a collaborative, detail-oriented role that combines administrative coordination, communication, project support, and live operational assistance. Core Responsibilities Coordinate logistics and administrative support for workshops, retreats, community gatherings, and special programs Communicate with instructors, artists, performers, and participants leading up to programs and gatherings Maintain event information and organizational systems across platforms including Universe, Google Drive, Asana, and Slack Assist with registration systems, lodging coordination, payment plans, participant communication, and customer service support Help organize calendars, timelines, documentation, and program materials Coordinate with marketing, hospitality, production, customer service, and operations teams to support successful program execution Assist with contracts, invoices, scheduling, and administrative tracking related to programming Support on-site operations, artist hospitality, participant experience, and troubleshooting during programs and gatherings Help maintain organized workflows, templates, and internal systems across the programming department Qualifications Strong organizational and communication skills Ability to manage multiple projects and timelines simultaneously Comfortable working in collaborative and fast-paced environments Experience in event coordination, arts administration, hospitality, education, customer service, or related fields preferred Familiarity with Google Workspace and organizational software platforms preferred Interest in arts, culture, education, or community-centered programming preferred Evening and weekend availability required Compensation & Benefits Hourly position paying $25-30 per hour depending on experience Paid Time Off (PTO) On-site staff meals during scheduled meal service What Success Looks Like Organized and well-supported workshops and programs Clear and timely communication across teams and participants Positive participant, instructor, and artist experiences Reliable administrative coordination and follow-through Smooth support of CoSM's programming calendar Growth Opportunity This role has the potential to grow into a broader programming management position over time as organizational systems, operational leadership, and departmental responsibilities expand.
Pay:
$25.00 - $30.00 per hour
