Position Summary The Study Abroad & Exchange Coordinator is responsible for advising a large portfolio of programs and offering a full range of student services during all stages of the UIW study abroad process for prospective, outbound, and inbound students. Position also manages study abroad data collection and analysis for the university; oversees the office's social media strategy; and ensures compliance with all university associated policies, rules and regulations. The Study Abroad & Exchange Coordinator reports to the Director of International Affairs. Job Duties Job Duty Name Advising/Counseling Description of Job Duties Advise prospective students for assigned sister-school programs through individual meetings, email and phone; assists with choosing appropriate study abroad options based on requirements, course offerings, academic preparation, and familiarity with and interest in the host culture. Advise outbound and inbound students regarding study abroad policies to help them prepare for their experiences abroad or at UIW. Guide and direct students to the appropriate UIW support offices and administrators in order to help students address issues such as accessibility, health and mental health, safety, identity and diversity, financial considerations, academic progress and conduct records. Participate in student conduct meetings and appeals panels. Respond to questions from parents/guardians and campus partners, as appropriate. Provide advising services enrolled students studying abroad and counsel returnees on reentry issues, campus activities, volunteer opportunities and career options. Job Duty Name Programs/Events Description of Job Duties Develop, plan and arrange programs-meetings, workshops, seminars, trainings, events, study abroad organization visits, information sessions, career fairs, etc. designed to provide information, promote resources, and to build internal and external relationships; note that some events identified above will require local travel. Implement a proactive planning approach to establishing future promotional or informational programs by actively identifying key academic deadlines, events, and/or major milestones throughout the year. Create a clear and concise task management system required to implement future programs leading to effectively executing the programs. Ensure that program/event details including communication, venues, presenters, travel arrangements, materials, refreshments and technology are arranged and completed in an appropriate and timely manner. Attend conferences, local or out of state, as requested and funds allow. Job Duty Name Administration Description of Job Duties Communicate with Sister School representatives/counterparts and students regarding the outgoing/incoming exchange student process. Serve as the main point of contact between the outgoing/incoming exchange student and other UIW offices to provide a centralized information flow. Oversee the administration of outgoing/incoming exchange student process by answering questions, providing information, and collaborating with offices, such as, UIW's International offices, Registrar, Advising, Residence Life, etc.. Collaborate with UIW's International Student and Scholar Services (ISSS). Advise inbound exchange students regarding UIW student policies to help candidates prepare for their experiences at UIW. Job Duty Name Marketing/Public Relations Description of Job Duties Collaborate with UIW departments, faculty, student groups, and various campus units to promote study abroad; organize informational sessions and campus visits for representatives from assigned portfolio. Create, update and maintain study abroad website, social networking site, chat rooms, etc. that describe, highlight and explain resources and services. Create, edit and proofread print and Web informational materials regarding assigned programs and special projects. Review processes and recommend changes to incorporate state-of-the-art technology as appropriate into administrative, resource, service, etc. components. Recommend changes and enhancements to leverage technology to best serve the greatest number of students as effectively as possible. Actively participate in staff meeting and team meetings with UIW's International Affairs Office and other international centers, branches, and/or affiliates. Excellent interpersonal skills. Good presentation skills. Ability to advise with sensitivity, including providing appropriate referrals, maintaining confidentiality, and handling sensitive matters with tact and discretion. Demonstrated ability to organize, plan and market events, as well as present at said events. Ability to handle complex projects and work independently to follow them through to completion. Strong computer skills to include Microsoft Excel, Word, PowerPoint, Outlook or equivalent. Ability to effectively learn and use MS Teams. Attention to detail. Ability to occasionally travel, as needed, primarily locally. Ability to work effectively with individuals from diverse communities and cultures. Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA. Required Education Bachelor's Degree from an accredited university. Required Work Experience One (1) year of experience providing administrative support in a student-support office or environment or working with students in a relevant environment. Note that other relevant experience working with non-students will be considered. One (1) year of experience assisting in the planning/execution of events. Preferred Qualifications Master's Degree in a related field (i.e., International Relations, Education, International Business, Management). Two (2) years of professional work experience in education abroad, with advising responsibilities, at a four-year college or university or with a study abroad program provider. Demonstrated experience in evaluating academic records. Required Certifications, Licenses or Registrations Must have a valid driver license, driving record that is insurable by UIW insurance carrier, and be at least 21 years of age, as required to drive for UIW. Valid driver license with "Real Id" designation, as required for occasional air travel. Work Hours Typical Mon through Fri 8am to 5pm with flexibility, to include evening and weekends to attend/work events. Position requires occasional travel to off-campus meetings and professional conferences. Physical Demands Ability to move about campus and event venues and actively engage during meetings, conferences, and special events.
