Bachelor's degree Minimum 2 years of experience coordinating event reservations and venue logistics Minimum of 1-year of supervisory experience Experience with event management software Ability to work some nights and weekends is required Preferred Qualifications Master's Degree Experience with Mazevo software Job Description Provides leadership to the LBJ Student Center Event Planning team responsible for the coordination and development of all events in and managed by the LBJ Student Center. This position ensures consistently high customer service, and seamless coordination to deliver outstanding events. Job Duties Hire, train, supervise, and evaluate Event Planning team members including full-time and student Event Coordinators. Lead regular meetings, conduct trainings, and develop and maintain training manuals and resources. Respond to inquiries, lead and attend client meetings, develop room diagrams, and enter reservation information into event management software. Head coordinator for LBJ Student Center and serve as lead on major, complex, and signature events. Lead regular event forecasting meetings and ensure timely and accurate information and operational impacts are shared as appropriate. Oversee administration and configuration of event scheduling and room diagram software and processes. Ensure compliance of LBJ Student Center and University policies, guidelines, and other relevant regulations, including but not limited to use of facilities, ADA compliance, security requirements, environmental health and safety standards, and special event approval requirements. Monitor events, provide positive customer service, collaborate with Event Services staff, catering staff, and other facility and campus personnel as necessary to ensure seamless coordination of outstanding events. Coordinate billing and payment between client and LBJSC Business Office. Serve as a vital member of the Event Services team in supporting successful LBJ Student Center events and ensuring positive customer service. Develop reports, recommend policies and procedures, and handle special projects, tasks, and other duties as assigned. Serve as a departmental representative on relevant committees. Active attendance, participation, and reporting back is expected.
