We exist to responsibly grow the visitor economy for the benefit of the community. About the Role This position will plan and organize internal Visit Seattle and external customer-facing events to support our mission of responsibly growing the visitor economy. These include, but are not limited to, convention and industry tradeshow logistics, sales events and missions and other events as assigned. This position will also advise and be the internal event resource for other Visit Seattle departmental events. This includes guidance on processes, knowledge, and compliance for laws and/ or permitting, licensing requirements at event locations in or out of Seattle, as well as ensuring synergy with other events taking place or previously executed. Overall responsibilities include timeline management for future planning, liaison working between departments collaborating on events, management of registration (for some events), speaker or event representative management, post-event reporting, and budget management. Ability to remain calm under pressure and adapt quickly in a client-facing environment is essential. What You'll Do Understand and achieve the goals of each event based on internal stakeholders' needs. Manage necessary timelines, delivering excellent service and always aligned with the organization's brand. Hold internal team members and vendors accountable to fulfill deadlines. Oversee selection, negotiations, procurement, and service needs for venue, hotel, catering, A/V, and rental needs for events, as applicable. Always conscientious about budget spend and maximizing the use of Visit Seattle members whenever possible. Work with all internal Visit Seattle departments for fulfillment of content and program needs. Ensuring needs are known and considered as part of scope of work, to include marketing materials (save-the-date to follow-up surveys), members or sponsor deliverables, and stakeholder engagement needs. Assist with maintaining storage of event inventory. On-site Manager of assigned events, overseeing vendors and all event details. Cross functional coordination between departments. Attend membership events and occasional after-hours external functions as needed. Contribute to a positive, productive, safe, respectful, professional work environment and culture. Qualifications Minimum 4 years of professional experience in event operations, coordination, or management. Demonstrated track record or delivering high quality events with exceptional customer service standards to both internal and external stakeholders. Exceptional detail orientation, as well as high level mindfulness. Resourceful, creative, and energized about creating engaging events. Hospitality industry experience preferred. Knowledge of current trends in events preferred (ex: food & beverage, decor). Audio-visual knowledge Proven ability to multitask and seamlessly shift priorities while managing concurrent events. Ability to work with a variety of management styles and personalities. Demonstrated ability to work independently, manage multiple priorities, and adapt to changing or unexpected situations. Demonstrated professionalism, flexibility and ability to maintain a positive attitude and high level of productivity in fast-paced or high-pressure environments. Advanced proficiency in Microsoft Office 365 products, with experience using CRM platforms and project management programs. Ability and willingness to travel as required based on business needs. Base salary range:
$80,000 to $95,000 with an annual incentive up to 8%. Compensation decisions are based on experience and scope of responsibility.
