About us: Backstage Winery is a family-owned, small-lot Napa Valley winery focused on delivering elevated, personalized tasting experiences. We are seeking a highly organized and detail-oriented Host & Reservations Coordinator to support weekend operations during our busy season. This role combines guest-facing hospitality with behind-the-scenes coordination to ensure each day runs smoothly from reservations to service execution. Position Details Seasonal position: May through November
Schedule:
Friday through Sunday, 10:00 AM to 6:00 PM Part-time, hourly
Key Responsibilities:
  • Guest Experience & Communication
  • Answer phones and emails to assist with reservations and guest inquiries
  • Welcome and check in guests as needed, supporting the hospitality team
  • Maintain a warm, polished, and professional presence
Reservations & Scheduling:
  • Manage reservations in Tock and guest records in Commerce7
  • Review bookings in advance and maintain accurate guest counts
  • Organize and update reservation details, notes, and special requests
  • Daily Team Coordination
  • Work with tour companies on guest counts
  • Align reservations with staffing and communicate updates to the team
  • Assist in assigning groups and managing the flow of the day
  • Pre-Service Setup
  • Print tasting menus and prepare daily reservation sheets
  • Highlight VIPs, large groups, and partner bookings
  • Ensure the team is set up for a smooth start to service Operational Support
  • Assist with guest flow, including early and late arrivals
  • Update reservations in real time throughout the day
  • Support the team as needed to maintain a seamless experience Qualifications
  • Previous experience in hospitality or customer service preferred
  • Strong organizational skills and attention to detail
  • Comfortable using reservation systems and basic technology
  • Excellent communication and multitasking abilities
  • Friendly, professional demeanor
