Administrative Assistant/Receptionist Job description - Intelligent Office Assistant Intelligent Office is growing and looking for a new team member. We help small businesses succeed in an ever-changing economy. This could be either a Part time or a Full time position (24 -40 per week). A positive attitude, adaptability to changing client needs, computer skills and being a quick learner is a must. Interest/Experience in sales/client development preferred.
•Responsibilities Include Operates multi-line phone system answer and support calls for multiple companies/clients. Schedules appointments in calendars for multiple clients Pleasantly greets persons entering the organization and directs them as needed Collects, sorts and distributes mail for multiple clients Manages incoming faxes and distributes based on procedures Provides administrative support to employees and clients Responsible for cleanliness of personal work area, kitchenette, mailroom, and conference rooms Required Skills and Experience High school diploma required Very Punctual, dependable and reliable team player Ability to multi-task with minimal supervision Excellent verbal and written communication skills in English Professional personal presentation and cheerful attitude Positive customer service orientation Intermediate computer skills Maintains a mature, polished, pleasant and professional presence and disposition at all times Knowledge of computers, relevant software applications and general office equipment Knowledge of customer service principles and practices Cheerful and excellent phone answering skills Computer skills: Microsoft Office - Excel, Word, Power Point; Outlook; Internet Research Desired Prior Front desk/receptionist experience a plus Multi-line phone system knowledge a plus Customer service experience Prior Administrative assistant experience a plus A second language a plus (Spanish) '
