Responsibilities Greet visitors, clients, and vendors warmly and professionally, ensuring they feel valued and attended to promptly Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette Handle incoming correspondence, including emails, mail, and deliveries, with attention to detail and confidentiality Maintain organized filing systems, data entry records, and office documentation using productivity software such as Microsoft Office and Google Workspace Assist with calendar management, scheduling appointments, meetings, and coordinating events efficiently Support office management tasks including inventory control, supply ordering, and basic bookkeeping using QuickBooks or similar software Provide exceptional customer service by responding to inquiries promptly and supporting clients or patients in person or over the phone Qualifications Proven office management or administrative experience with strong clerical skills Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools Experience with multi-line phone systems and phone etiquette in a professional setting Bilingual abilities are highly desirable to serve diverse client needs effectively Strong organizational skills with the ability to prioritize tasks and manage time efficiently in a fast-paced environment Familiarity with bookkeeping software such as QuickBooks is preferred for handling basic financial records Previous experience as a front desk or medical/dental receptionist is advantageous but not required Demonstrated customer service skills with a friendly demeanor and professional communication style Join our team to be the friendly face that keeps our office running smoothly!
