The Rooms Controller plays a key role in coordinating room assignments and Front Office operations to ensure a seamless, personalized guest experience. This position assigns accommodations based on guest preferences, requests, reservations, and operational requirements while closely monitoring arrivals, departures, room status, and inventory. Key Duties & Responsibilities Manage room assignments for individual and group arrivals, utilizing guest preferences, special requests, room categories, packages, and rates
Coordinate group rooming lists, show rooms, hospitality rooms, VIP accommodations, and special room requirements
Complete regular assignments up to 30 days in advance and peak-season assignments up to 90 days in advance for management review
Monitor arrivals, departures, and room status throughout the day, ensuring rooms are appropriately assigned, ready, and prioritized according to guest needs and operational demands
Communicate guest preferences using Opera and Alice, ensuring relevant information is shared with appropriate departments, such as Housekeeping
Partner with Housekeeping and Facilities on room readiness, room moves, the "Perfect Room" program, and other initiatives designed to improve room quality and reduce room changes
Support Front Office and Porte Cochere operations, including arrivals, departures, luggage coordination, check-ins, check-outs, guest registration, and immediate guest assistance as required
Support upselling opportunities to assist in improving departmental revenue and providing operational reporting Support guest service and recovery by addressing inquiries and concerns promptly, resolving issues where possible, and escalating matters appropriately
Maintain effective communication, including email management, daily checklist completion, and shift handovers
Maintain accurate billing and financial controls, including guest folios, credit authorization, cash and credit card reconciliation, and other required financial transactions
Perform additional responsibilities as assigned by the Assistant Manager, Front Office or other members of management Skills, Experience, & Educational Requirements Previous experience in Front Office, Reservations, or a similar role within a luxury hotel or resort
Proficient in Microsoft Office, Opera, Alice, and other hospitality applications
Strong problem-solving, decision-making, and guest-service skills
Exceptional organizational skills, with a high attention to detail
Highly proactive, service-oriented, and responsive, with a strong sense of urgency and ownership
