Part-Time Guest Services Assistant

MISSION FOCUS:
This role furthers the mission of Second Harvest by providing exemplary and dignifying service to all visitors and staff of the organization, from helping community members find food assistance to greeting volunteers. The Guest Services Assistant will provide additional support to their supervisor, their team members, and other staff with matters relating to guest and administrative services to ensure operational efficiency of the front desk.
PRIMARY RESPONSIBILITIES
  • Ensure all internal and external guests have a great experience by providing exemplary service and a professional first impression.
  • Compassionately and patiently problem-solve with guests to identify appropriate solution(s) to their challenges.
  • Serve as the primary operator of our high-volume multi-line phone system answering questions or transferring calls to appropriate staff members and voice mail.
  • Maintain emails and general voicemail box; return messages in a timely manner
  • Greet and direct guests (including vendors) to their destination (whether that be a place or a per-son); maintain and distribute guest records.
  • Greet, check in, and direct volunteers to their destination (whether that be a place or a person); maintain and distribute volunteer records when appropriate.
  • Along with the rest of the Guest Services team, maintain a clean and welcoming front desk and lobby, letting a supervisor and/or appropriate staff members know when issues arise.
  • Make, confirm, and distribute room reservations, meetings, and events, working with catering and other staff to do so.
  • Provide receipts for donations and payments received at the front desk.
  • Record and process donations and payments in a thorough, accurate, and timely manner, working with finance and development staff to do so.
  • Properly maintain financial records, preserve donor privacy, and protect sensitive banking infor-mation.
  • Provide accurate food assistance resources and information to our neighbors, including weekly up-dates to, and assembling of, printed materials.
  • Perform clerical duties including (but not limited to): faxing, printing, photocopying, scanning, and mailing.
  • Sort, open, and distribute mail, faxes, and packages when appropriate.
  • Manage and distribute office supplies.
  • Assist in the upkeep and maintenance of postage meter and printers.
  • Serve as backup support for guests needing assistance with room technology.
  • Keep Guest Services handbook and resources updated and accurate when changes occur.
  • Perform duties of Guest Services Lead when out of office as requested by a supervisor.
  • Assist with training new Guest Services team members when requested by a supervisor.
  • As approved by supervisor, assist with project-based work or weekly tasks with other team mem-bers at the Greensboro location or with the rest of the Guest Services team in Winston Salem.

CEO. KNOWLEDGE AND SKILLS REQUIREMENTS
Ÿ Must embrace the mission and vision of Second Harvest Food Bank. Ÿ Associates Degree or equivalent work experience required. Ÿ Minimum of two years of applicable work experience preferred—prior front office or guest services experience in a high-volume professional environment or related customer service experience. Ÿ Must have ability to communicate professionally, both verbally and in writing, in English. Ability to communicate in Spanish preferred. Ÿ Must be trustworthy, strength of integrity, and able to maintain a high level of confidentiality. Ÿ Must maintain a strong commitment to punctuality and attendance. Ÿ Must have excellent customer service skills in a nonprofit environment—patience, a good listening ear, a desire to be helpful, a positive attitude, the ability to show gratitude to those who show up for our organization, and the ability to show compassion to those who need our organization. Ÿ Must be competent and comfortable with independent work (assisting visitors, managing time and workload, using own discernment to solve problems, making decisions, etc.). Ÿ Must have ability to work well under pressure, multi-task, shift priorities, and meet deadlines in a frequently fast paced environment. Ÿ Must have ability to focus, stay organized, and complete work in an open, sometimes loud and crowded work environment with frequent interruptions. Ÿ Must be detail-oriented and committed to accuracy and a high level of quality in work. Ÿ Must be comfortable taking the initiative to support team members, identify and address potential issues, and identify best uses of down time. Ÿ Must be proficient in Microsoft Word, Excel, and Outlook, or have the ability to learn and master the skill level necessary to perform job well quickly. Ÿ Must have experience maintaining database software or the ability to learn and master the skill level necessary to perform job well quickly. Ÿ Must have the ability to comprehend financial documentation, and calculate and record financial information accurately, or the ability to learn and master the skill level necessary to perform job well quickly. Ÿ Must exhibit excellent teamwork, interpersonal, and relationship-building/maintenance skills. Ÿ Must maintain a clean, welcoming, and professional presence and office space. Ÿ Must have ability maintain order with large groups and provide a pleasant experience for visitors and volunteers. Ÿ Must maintain a calm demeanor and de-escalate potentially sensitive situations with volunteers and guests, knowing when to involve supervisors for assistance. Ÿ Must possess a teachable spirit with a desire to grow.
PHYSICAL REQUIREMENTS
  • Regular use of a computer, telephone, and other standard office equipment.
  • Ability to communicate effectively in person, by telephone, and in writing.
  • Ability to read and interpret printed materials and information displayed on a computer screen.
  • Ability to remain in a stationary position for extended periods and move throughout the facility as needed to assist guests, volunteers, and team members.
  • Ability to occasionally bend, reach, stoop, and lift or move items weighing up to 20 pounds.
  • Ability to perform the essential functions of the position with or without reasonable accommo-dation.
