Description
SUMMARY:
Position will report directly to the Director of Revenue Management and have a dotted line to the Director of Sales as well as having a close working relationship with the Conference Service Managers and Catering Sales Managers. This position is responsible for the execution of group room coordination.
The Group Rooms Coordinator shall always strive to provide exceptional service to both internal and external guests . S/he will be responsible for exemplifying the Wild Dunes Resort Culture as well as promoting Wild Dunes Resort as both the Destination and Employer of Choice!
Daily
Input all new and changed group blocks into SMS or Opera
Input and edit group rooming list as needed
Monitor all and enter new group reservations, including web reservations, with complete data (name, address, email, etc)
Monitor pickup of group room blocks and flag groups that are about to fill their room block or severely behind pace for action
Monitor cut off dates and release groups on the cut-off date unless otherwise determined in the Group Rooms Control meeting
Proactively communicate with meeting planners by sending advance room lists and informing of approaching cut off dates
Assure complete accuracy in all group reservations and group room blocks
Audit group reservations made by individual reservations agents
Assure accurate billing of all individual reservations within group blocks
Take group reservation phone calls as needed
Create web links for all upcoming call-in groups with appropriate inventory allocated in Reserve.
Communicate information to planner and sales/service teams.
Monitor online web reservations setup, availability and cutoff
Set-up and monitor all VIPs
Calculate attrition for departed groups and send to accounting and DOS
Create daily, weekly, and monthly reporting, including but not limited to the Funnel Report, 14 Day, and Group Rooms Control reports.
Oversee and track Group Concession charges
Create and send out Attrition letters to Meeting Planners; discuss challenges with them when needed.
Monitor cut-off dates for golf groups / wedding blocks
Set-up and monitor all VIPs
Make group reservations across buildings with direction from the Revenue Analyst to optimize resort profitablity

Update upcoming group excel spreadsheet
Attend Group Resume Meeting
Lead Group Rooms Control Meeting
Monthly
Audit Envision versus SMS to assure Envision's rooms are populated with appropriate rates for groups just experienced.
Add rates to all past and future groups
Work with accounting to make past groups city ledger inactive (OUT) in SMS (so they can't be used for future groups-especially repeat ones)
Colleague is held accountable for all duties of this job and other duties as assigned.

DUCATION
Bachelor degree preferred or one+ years experience in the pertinent departments, Revenue, Group Sales, Reservations, and/or guest services.

Experience with hotel reservations systems, particularly, Springer Miller Systems, preferred.

Working
CONDITIONS
Can sit or stand as needed with intermittent periods of walking, rarely needing to stand for periods up to an hour.
Must be able to occasionally lift and carry up to 20 lbs with assistance;
Must be able to perform simple grasping, fine manipulation, and repetitive hand & arm movements frequently, and squeezing & overhead reaching occasionally.
