The Guest Services Desk Attendant serves as the first point of contact for tenants, visitors, vendors, and guests, providing exceptional customer service and creating a welcoming, professional environment within a Class A office building. This position is responsible for managing the guest services desk, assisting building occupants and visitors, maintaining lobby standards, coordinating visitor access, and supporting property management operations through effective communication and administrative assistance. The ideal candidate is polished, customer-focused, highly organized, and capable of handling a fast-paced environment while maintaining a positive and professional demeanor. Essential Duties and Responsibilities Visitor Services Welcome and assist tenants, visitors, vendors, and delivery personnel in a courteous and professional manner. Manage visitor registration and check-in procedures, including visitor management software and access protocols. Maintain vendor badges and provide directions to tenant suites and building amenities. Coordinate guest arrivals with tenant contacts and notify tenants of visitor arrivals as needed. Tenant Relations Deliver exceptional customer service to building tenants and their employees. Assist with tenant requests, questions, and service inquiries. Maintain positive working relationships with tenants while representing the property's brand and service standards. Building Operations Support Communicate building policies, procedures, and security requirements to visitors and occupants. Coordinate with property management, janitorial, and security teams to address issues and requests. Monitor lobby and common areas to ensure they remain clean, organized, and professionally presented. Report maintenance concerns, safety hazards, or operational issues to the appropriate personnel. Assist with administrative tasks, including data entry, delivery logs, incident reports, and record maintenance. Communication and Coordination Answer and direct incoming calls professionally and efficiently. Maintain accurate logs of visitors, deliveries, incidents, and service requests. Facilitate communication between tenants, vendors, contractors, and building management. Safety and Security Follow established building security and emergency procedures. Verify visitor credentials and ensure compliance with access control policies. Assist during emergency situations by providing information and directing occupants as instructed. Report suspicious activity or security concerns promptly.
Qualifications:
Education High school diploma or GED required. Associate degree or coursework in hospitality, business administration, communications, or a related field preferred. Experience Minimum of 1-3 years of customer service, hospitality, concierge, front desk, office administration, or related experience. Experience in commercial real estate, office buildings, hotels, hospitality, or corporate environments preferred. Knowledge, Skills, and Abilities Exceptional customer service and interpersonal skills. Professional appearance and demeanor. Strong verbal and written communication skills. Ability to interact confidently with executives, tenants, visitors, and vendors. Excellent organizational and multitasking abilities. Proficiency with Microsoft Office Suite (Outlook, Word, Excel, Teams). Ability to remain composed and professional in high-volume situations. Strong attention to detail and problem-solving skills. Schedule Requirements This is a part-time position generally scheduled during afternoon and early evening hours to support Guest Services operations and front desk coverage. Typical scheduled hours are anticipated to be approximately 3:00 p.m. to 5:30 p.m., Monday through Friday. The schedule may vary based on business needs and building operations. Additional hours may occasionally be available or required to support building events, tenant functions, training, coverage during vacations or absences, emergency situations, or other operational needs. Flexibility and reliability in meeting scheduled work hours are essential to maintaining consistent service and building coverage. Physical Requirements Ability to sit, stand, and walk for extended periods. Ability to occasionally lift up to 25 pounds. Ability to operate standard office equipment, including computers, telephones, and printers.
