Exceptional Access is a specialized fitness and wellness organization dedicated to serving individuals with a wide range of exceptionalities, including (but not limited to) autism, intellectual and developmental disabilities, physical disabilities, and other unique learning or behavioral needs. Our mission is to increase access, independence, and quality of life through individualized, adaptive, and inclusive physical activity programming. Position overview Exceptional Access is seeking a passionate, driven, and highly organized Regional adaptive fitness program coordinator to support both direct service delivery and program operations. This is a hybrid role for someone who can: • Build strong client relationships across diverse needs Manage systems and client experience behind the scenes Help grow and sustain a mission-driven business You will play a key role in shaping the entire client journey-from onboarding to progress tracking to long-term engagement. Key responsibilities 1. Adaptive fitness training Deliver individualized and small-group sessions for clients with a variety of exceptionalities Adapt exercises to meet physical, cognitive, sensory, and behavioral needs Create structured, engaging, and goal-oriented sessions Maintain a safe, inclusive, and supportive training environment 2. Client onboarding & systems management Manage intake process (forms, assessments, scheduling, etc.) Conduct or assist with initial movement and needs assessments Maintain organized and confidential client records Oversee daily operations such as check-in/check-out procedures 3. Progress tracking & reporting Collect and track meaningful client data (physical, behavioral, functional) Develop clear, professional progress reports for families and partners Adjust programming based on outcomes and observations 4. Communication & Relationship building Serve as a consistent point of contact for clients and families Provide updates, feedback, and support in a clear and professional manner Build strong, trust-based relationships across diverse populations Coordinate scheduling and respond to client needs proactively 5. Client retention & Growth Deliver a high-quality experience that drives long-term engagement Support retention through consistency, communication, and results Assist in outreach to schools, families, and organizations Help generate new client opportunities through relationship-building 6. Program development & Leadership Assist in developing new programming across settings (private, group, school-based, etc.) Help refine systems, workflows, and service delivery models Contribute to the growth and evolution of Exceptional Access Take ownership of responsibilities with leadership potential over time Qualifications Nationally recognized fitness certification (NASM, ACSM, ACE, NSCA, etc.) Experience working with individuals with diverse exceptionalities Strong interpersonal and communication skills High level of organization and reliability Ability to balance coaching with administrative responsibilities Background in Adaptive PE, Special Education, Kinesiology, or related field Experience supporting individuals with physical, cognitive, or behavioral needs Familiarity with behavior strategies and individualized supports Experience with documentation, reporting, or program coordination CPR/AED certification Core Competencies Genuine passion for working with individuals of all abilities Patience, empathy, and adaptability Leadership and initiative Strong problem-solving skills Commitment to inclusion and dignity for all clients Compensation & Growth opportunity Competitive hourly based pay (based on experience) Opportunity to grow into a leadership or director-level role Hands-on involvement in building a growing organization Why join Exceptional Access?
