Administrative Assistant (Activities & Athletics, 12-Months) School District of Whitefish Bay Milwaukee, WI Job Details Full-time From $20 an hour 1 day ago Benefits Health insurance Dental insurance Paid time off Vision insurance Retirement plan Qualifications Newsletters (communication methods) Full Job Description The School District of Whitefish Bay is seeking a full-time Administrative Assistant to work in the Activities Office at Whitefish Bay High School. This is a 12-month, full-time, benefit-eligible position. This position reports to the Activities Director and the Principal of Whitefish Bay High School. The goal of this position is to assist the High School administration, staff, and students in fullfilling responsibilities associated with activities and athletics.
PERFORMANCE RESPONSIBILITIES
1. Ensure a professional office approach to all communication with coaches, advisors, students, staff members, families, external agencies, and the public. 2. Assume fiscal responsibility for cash boxes, deposits, petty cash, and miscellaneous fees. 3. Maintain accurate bookkeeping of all funds that flow through the Activities Department. 4. Prepare all Activities Department purchase requisitions for equipment and payroll. 5. Assist with and verify transportation to athletic events and activities. 6. Maintain eligibility records for all athletes which includes physicals, insurance waivers, concussion forms, activities codes, and attendance data. 7. Enter all facilitiy reservations and event setups in SchoolDude. 8. Verify officials, ticket takers, event workers, etc. in coordination with the Activities Director. 9. Prepare and maintain all student awards. 10. Maintain all athletic and activities files and inventory. 11. Develop rosters and programs for games, meets, and other events. 12. Utilize computer software (Arbiter) to enter student events, cancellations, and reschedules, and send school contracts and referee contracts for athletic events. 13. Enter attendance for early release schedules and notify staff when students are absent from class for activity participation. 14. Coordinate lodging and meals for participants, coaches, and advisors who qualify for state-level competitions. 15. Assist with the proper handling, issuing, and collecting of uniforms.16. Support the coordination and execution of the annual Activities Fair.17. Update social media platforms sponsored by the District.18. Prepare and send a bi-weekly athletic/activity newsletter, highlighting our students and staff.19. Assist and promote the Activities Department's Pack the Stands and Pack the Seats initiatives.20. Collaborate with the Human Resources Department to onboard new advisors and coaches, in alignment with District policies and procedures. 21. Other related duties as assigned.
