The Reservation Office Associate is a vital member of our hospitality team, responsible for providing excellent customer service to guests from the moment they make a reservation to the time they check out. The associate will handle reservation calls, welcome guests upon arrival, manage check-in and check-out procedures, provide guest orientation, and answer inquiries regarding services and amenities through various communication channels.
Key Responsibilities and Requirements:
Taking and processing reservation calls, ensuring all guest information is accurately recorded and confirmed. Welcoming all guests upon arrival, providing a smooth and efficient check-in experience. Conducting guest orientation, informing them about the resort's amenities, services, and any special promotions. Managing check-out procedures, ensuring a positive end to the guest's stay and addressing any final inquiries or concerns. Answering inquiries regarding services and amenities by phone, email, written correspondence, or in-person, and providing helpful and accurate information. Maintaining up-to-date knowledge of the resort's offerings, rates, packages, and special promotions. Working collaboratively with other team members to ensure a seamless guest experience. Handling administrative tasks related to reservations and guest experiences. Providing feedback to management on guest satisfaction and areas of improvement. Obtaining all necessary information when taking room reservations and following through with protocol for securing a reservation, including processing payments. Ability to perform and complete all tasks and duties on the staff checklist. Ability to effectively communicate, both verbally and written with all levels of employees and guests, in an attentive, friendly, courteous, and service-oriented manner. Attend mandatory staff meetings. Attention to detail and ability to work in a fast-paced environment. Ability to maintain confidentiality of information. Ability to perform other duties as requested by management.
Qualifications:
High School Diploma or equivalent Hospitality or customer service training preferred. Previous experience in a customer service or hospitality role preferred. Strong verbal and written communication skills required. Proficiency in computer applications and reservation software. Ability to work a flexible schedule, including: evenings, weekends, and holidays.
