Job Description

The Part-Time Onsite Assistant Manager will serve as the primary onsite point of contact for homeowners and vendors. This role is responsible for managing the day-to-day administrative functions of the HOA office, ensuring efficient operations, excellent communication, and timely support to the community and management team.
Key Responsibilities:
Greet and assist homeowners, vendors, and guests in a professional and courteous manner Maintain the HOA office, including answering phones, responding to emails, and managing walk-ins Schedule and coordinate meetings, clubhouse reservations, and facility use Maintain accurate records and files, both digital and physical (e.g., homeowner correspondence, maintenance logs, vendor contracts) Handle incoming and outgoing mail and packages Assist with preparation and distribution of newsletters, notices, and communications Provide administrative support to the HOA board and/or property management team Track work orders and follow up with vendors or maintenance personnel as needed Ensure compliance with HOA procedures and community rules Monitor office supplies Walkthroughs of the property Intercom programming Key distribution Move in and Move out coordination Violation notices Work orders and vendor coordination Attend board meetings when applicable Review, verify, and approve timecards for onsite staff to ensure accuracy
Qualifications:
Prior experience in office administration, preferably in property management or HOA setting Strong organizational and time management skills Excellent written and verbal communication skills Proficient in Microsoft Office (Word, Excel, Outlook) and able to learn HOA-specific software Friendly, professional demeanor with a customer-service mindset Ability to work independently and maintain confidentiality 24 hours per week (Mon-Fri) Pay rate is not negotible In Person is required and non-negotibile.
