Job Description

Overview Assistant general managers direct all of the hotel's guest services activities, including the front office, reservations, housekeeping, maintenance, telephone department, and night audit. Responsibilities Assistant general managers have the following responsibilities: General Responsibilities Adhere to all hotel policies and procedures. Implement Company policies and assist the management with updating company policies. Adhere to and implement departmental policies and procedures for telephone, front desk, maintenance, reservations and sundry. Be knowledgeable of information contained in circulated management reports and financial statements. Participate in career-oriented continuing education programs. Assure the maintenance of accurate, complete and thorough departmental files on topics such as vendors, equipment, supplies, forms, in accordance with company standards for file maintenance. Assure the maintenance of data relevant to forecasting hotel revenue and departmental expenses. Supervise the maintenance of records on hotel supplies so inventories are always maintained at a level to achieve guest satisfaction and efficient operations. Direct the revenue maximization activities of the front desk and reservations departments to achieve the maximum potential room revenue each day. Assure the maintenance of complete, organized and accurate files of past guest transactions, including folios, registration cards, credit-card vouchers, Paid-out slips, government travel orders and other documents. Maintain departmental expenses within budget limitation, except as approved in advance by the general manager. Represent the hotel with enthusiasm, professionalism and businesslike appearance and demeanor to all hotel guests, clients, prospective clients, agents and the community. Be knowledgeable on all important hotel features, amenities and services for our hotel and competitors. Maintain good working relationships with all hotel employees. Be knowledgeable on hotel room rates and rate setting in all systems. Maintain the confidentiality of proprietary company information, including, but not limited to, hotel performance statistics, information about agreements with clients, information about prospective business, hotel financial information and employee personal and salary information throughout and after employment by the hotel
Supervisory Responsibilities:
Provide guidance and feedback to subordinates in order to improve their work performances. Recruit, orient, train and supervise capable employees in the positions of guest service agent, night auditor and reservations agent. Supervise all front desk, telephone, guest-transportation, reservations and night-audit activities to assure the highest level of friendly and professional guest service. Continually communicate formally and informally with subordinates regarding company and departmental operating philosophy and policies.
Safety Security and Risk-Management Responsibilities :
Be knowledgeable on hotel safety, security and emergency equipment and procedures. Implement and enforce the departmental and hotel policies and procedures described in the company's Safety, Security and Emergency Procedures Manual. Assure the presence of well-trained staff on the issues of safety, security and emergency procedures. Maintain the security of guestroom and administrative keys. DUTIES The assistant general manager performs the following duties: General Duties Actively participate in staff meetings. Perform as the hotel manager-on-duty on weekends and evenings as assigned. See the separate manager-on-duty position description for responsibilities and duties. Report accurate statistics on hotel revenues to management in the format and frequency required. Report to the general manager all comments from customers and prospective customers that affect the hotel's image or services. Schedule and work shifts as a guest service agent. Formally communicate with hotel employees in other departments, including sending and receiving regularly scheduled reports. Participate in sales calls and trade shows with the sales-department staff. Assist the sales department with the procurement of accurate group rooming lists in the time required before each group event. Conduct hotel site-inspection tours for prospective clients and guests. Attend and participate in pre-convention and post-convention meetings. Actively participate in special sales promotion activities, such as sales blitzes and telemarketing. Assist the accounting department in accurately processing accounts receivable and daily bank deposits. Coordinate special guest requests with the maintenance and housekeeping department. Complete other assignments and perform other duties as directed by management.
Supervisory Duties:
Conduct regularly scheduled departmental meetings. Perform formal, written employee performance reviews according to company standards. Review and adhere to all manuals and other policy updates.
Safety, Security and Risk-Management Duties :
Conduct inspections of the hotel lobby, public rest rooms and back-office areas for the purpose of discovering and correcting conditions that risk the security, safety or health of hotel employees, guest or other visitors. Attend and participate in the hotel's Safety and Security Committee. Thoroughly investigate and document departmental employee accidents and losses.
Reporting Duties :
a. Perform the daily front-office control procedures as described in company policy. b. Prepare payroll information and review the accuracy of paychecks.
Pay:
$70,304.00 - $73,000.00 per year
