ROLE SUMMARY/OBJECTIVE
The Travel Coordinator is responsible for all aspects of travel coordination for employees and contractors in support of corporate objectives including short- and long-term projects. This role will support field technicians and other team members traveling across the United States. This role will manage all aspects of travel—including accommodations, airfare, and transportation. Accommodations will require strong research skills to ensure proximity and accessibility to worksite locations.
ESSENTIAL DUTIES AND FUNCTIONS
Research and book travel arrangements including air, hotel and ground transportation including rental cars/vans for company employees. Verify and complete travel changes as they arise. Maintain records related to company travel and assist with invoicing. Communicate and follow through with employees regarding travel confirmations and changes, as applicable. Provide excellent customer service to internal and external customers. Plan and manage business trips effectively, staying within budget constraints while arranging travel, transportation, and accommodations. Ensure the safety and comfort of employees while traveling by following internal safety guidelines and selecting appropriate lodging near worksites. Maintain accurate travel records, track expenses, and ensure financial accountability for all travel arrangements. Act as a backup recruiter and/or complete requested project work when travel demand is low. Other duties as required or requested.

MINIMUM EDUCATION, EXPERIENCE, AND ABILITIES
High school diploma or equivalent. 5+ years in customer service. Experience in travel/hospitality a plus. Good judgement in time management and decision-making skills. Ability to work independently in a high-volume environment with accuracy and attention to detail. Microsoft Office Suite experience preferred. Expertise in researching U.S. locations to secure accommodations that are safe, cost-effective, and strategically located near worksites. Effective communication skills with the ability to handle last-minute requests and resolve travel disruptions quickly. Strong organizational and time management skills. Resilience under pressure and the ability to prioritize in a fast-paced environment. Excellent oral and written communication skills. Excellent organizational and decision-making skills.
TRAVEL REQUIREMENTS
This position will not travel and will be based 100% in our Tampa HQ office, 5 days a week.
