Job Description

Job Summary This position assists and facilitates group event guests to have the best Hawaii experience possible. Many behind-the-scenes administrative tasks include miscellaneous communications between the U.S. and Japan teams, hotel arrangements, tours, and transportation arrangements. Listen to the needs of our clients and accommodate them whenever possible. Occasionally attend events and help facilitate them. Deliver a lot of "Wow = Excitement" to our guests. In this role, you will be part of a collaborative team, working together to ensure our guests have the best stay in Hawaii. You will report to a supervisor, supporting their work and following their guidance. Your active participation in making estimations, arrangements, and coordination for our customers will be crucial to our success. Your role also includes crucial office support, ensuring that the team works in an organized and clean environment. This is essential in creating a professional and welcoming atmosphere for our guests and team members alike. Essential Duties Liaising with the team and the Japan team to provide hotel rooms, tours & activities, transportation, and other necessary services for the group's guests. Arrange quotes and arrange reservations. Communicating internally with tours, activities, hotels, and other teams to ensure all requirements are met. Promptly respond to inquiries from the Japan Group section regarding hotel rates, room availability, transportation, activity details, restaurants, etc., ensuring accurate and up-to-date information is provided. Research and prepare proposals for group and event tours. We are handling related arrangements and on-site correspondence. Provide problem-solving assistance to internal guests. Share necessary information with other internal departments, such as airports and guest services. Ensure that client expectations are met and that the highest quality results possible are achieved. Actively participate in events as needed and assist with event facilitation. Other tasks as requested by the company. Prepare all the necessary arrival items for customers Make sure the room/numbers are correct or not, contact Hotel if necessary Prepare the tour counter
Briefing:
Go over the itinerary and house keepings for the group. Handout the vouchers and meal coupons Create arrival reports and share it with Japan side Actively attend all events venues, e.g., hotel group counter, chartered events, banquets Assist in making the group to be able to depart smoothly in a timely manner. Make a sound judgement for ad hoc issues and align such information cross functionally. Basic Qualification Fluent in writing, reading, and speaking Japanese in a business manner. Intermediate English ability (Speak, read, write) Must be hospitable and have a passion for excellent customer service. Computer literacy A customer-oriented and professional attitude An outgoing personality Outstanding communication abilities Excellent organizational and time-management skills Ability to lift up to 25lb. Team Player Maintain a professional appearance and attitude. Ability to work a flexible schedule, including weekends, holidays, early mornings. Preferred Qualification Experience in the hospitality industry is a plus A customer-oriented and professional attitude BS/BA in Hospitality Work Conditions Indoors under regular office/lounge conditions; outdoors in all types of weather. Shifts schedule, including Saturdays, Sundays and Holidays. Work Hours :8:00am~5:00pm or 9:00am~6:00pm(8 hours/day)
