+ Travel is a luxury travel agency on Chicago's Michigan Avenue . We are seeking a self-directed onsite Travel Office Coordinator to help manage the daily flow of work across our advisors and support team while keeping the office, systems, and client-service process organized. This role focuses on coordinating priorities, people, systems, and workflow. You will maintain visibility into active work, help ensure important requests and deadlines do not fall through the cracks, support consistent operating procedures, and coordinate the practical needs of the office. This is an operations and coordination role rather than a travel advisor or primarily transactional position. What You'll Do Coordinate the daily flow of work among travel advisors and administrative support staff. Review incoming requests, priorities, deadlines, and unresolved items, and help ensure work is routed appropriately. Maintain a central view of active client-service and operational tasks, including ownership, status, and next steps. Facilitate regular workflow briefings and communicate changes in priorities clearly. Follow up respectfully on assigned work and identify obstacles before deadlines or client commitments are missed. Escalate time-sensitive, unresolved, or unusual matters to the appropriate advisor or company leader. Maintain and improve operational procedures, checklists, templates, shared resources, and workflow standards. Coordinate office calendars, meetings, supplier appointments, visitors, supplies, equipment, and general office readiness. Serve as the internal point person for routine office technology and systems questions and coordinate with outside technical support when needed. Help evaluate, implement, document, and encourage consistent use of new operational tools, technology, including AI. Provide backup administrative and transactional support. Help create a calm, organized, professional office environment for clients, visitors, and team members. Who You Are Professional, reliable, and friendly, with sound judgment and a strong service orientation. Highly organized and able to maintain visibility across multiple people, priorities, and deadlines. Comfortable taking initiative, bringing structure to incomplete information, and moving work forward. Confident following up respectfully, clarifying expectations, and raising concerns when work is incomplete or deadlines may be at risk. Process-minded and interested in finding practical ways to improve consistency, efficiency, and client service. A clear and polished communicator who can adapt to advisors, support staff, clients, suppliers, and outside partners. Comfortable working independently while building trust and collaboration within a small team. Technology-confident and interested in business systems, automation, and responsible use of AI-assisted tools. Professional and composed when working with discerning clients and confidential information. Legally authorized to work in the United States and able to commute reliably to our office near Michigan Avenue and Oak Street. This is an onsite position and is not remote. Preferred Qualifications Three or more years of experience in office coordination, operations, project coordination, hospitality operations, professional services, executive support, or a similar environment. Demonstrated experience coordinating work involving multiple people, priorities, and deadlines. Experience improving a process, maintaining procedures, or helping implement a new system or tool. Strong proficiency with Microsoft 365, customer databases, and cloud-based business applications. Excellent written and spoken communication skills, sound judgment, and careful follow-through. Experience in luxury travel, hospitality, luxury retail, real estate, or professional services is preferred but not required.
