Job Description
The Aviation & Travel Coordinator will oversee private aviation operations, executive and family travel, aircraft administration, as well as travel arrangements for all employees as needed. The role will work closely with executives, family members, pilots, aviation personnel, and Accounting to coordinate travel, maintain accurate documentation, monitor expenses and budgets, and ensure aircraft are properly prepared. This position requires exceptional organization, professionalism, discretion, and confidentiality due to access to sensitive family, travel, financial, and aircraft information. Prior professional experience working directly in private aviation is REQUIRED and is a mandatory qualification. Key Responsibilities Private Aviation & Travel Coordinate private aircraft flights, schedules, passenger logs, and itineraries. Coordinate family and executive travel, including accommodations, ground transportation, and other logistics. Work directly with pilots and aviation personnel regarding schedules, training, certifications, and flight requirements. Ensure aircraft interiors are clean, organized, properly stocked, and prepared for flights, including food, beverages, and other consumables. Maintain accurate flight logs, aviation records, invoices, vendor information, and related documentation. Report aircraft interior, supply, or maintenance concerns to the appropriate personnel. Accounting & Expense Management Coordinate with Accounting on aircraft expenses, invoices, budgets, and financial reporting. Review and audit pilot and aviation-related expenses, receipts, and credit card charges. Track flight training, aircraft maintenance, travel, and other aviation-related budgets. Identify discrepancies or unusual expenses and report them to management or Accounting. Assist with aviation vendor relationships, pricing, invoices, and expense management. Confidentiality & Professionalism Maintain strict confidentiality regarding family matters, private travel, flight schedules, aircraft operations, financial information, and Company business. Exercise sound judgment and discretion when handling sensitive information. Represent the Company and family professionally when dealing with pilots, vendors, hotels, transportation providers, and event venues.
Experience & Qualifications Required:
Professional experience working directly in private aviation. Experience with private aircraft, pilots, flight operations, or aviation vendors. Experience coordinating executive/VIP or private aircraft travel. Experience with flight logs, aviation documentation, and expense reporting. Strong organizational and attention-to-detail skills. Ability to manage multiple schedules, priorities, and last-minute changes. Strong written and verbal communication skills. Proficiency with Microsoft Office, Outlook, and Excel. Ability to handle highly confidential information. Flexibility to work evenings, weekends, and holidays as required.Pay:
