Job Description
Job Purpose / Summary The Travel Desk Administrator is responsible for coordinating and administering all travel arrangements for Blade Platforms personnel. This role serves as the primary point of contact for travel-related enquiries from field crews and internal departments, ensuring that accommodation, rental vehicles, and flights are booked efficiently, accurately, and cost-effectively through approved suppliers. The Travel Desk Administrator will manage travel bookings, compare travel options, reconcile travel costs, maintain accurate records, and support financial tracking processes. This role requires strong organisational skills, attention to detail, excellent communication, and the ability to manage multiple priorities in a fast-paced environment. Key Responsibilities Travel Coordination Plan, arrange, and book hotel accommodation, rental vehicles, and flights for company personnel. Obtain and compare travel options through approved suppliers to ensure best value and operational suitability. Coordinate travel schedules to support operational requirements and project mobilisation needs. Distribute travel itineraries and booking confirmations to employees and relevant departments. Cost Management & Reconciliation Compare and reconcile hotel, rental car, and flight costs against supplier invoices and booking records. Maintain accurate travel expenditure records and supporting documentation. Complete data entry and updates within company financial spreadsheets and tracking systems. Assist Finance and Operations with travel reporting and cost analysis. Identify opportunities to improve travel efficiency and reduce unnecessary expenditure. Travel Support Act as the main point of contact for all travel-related enquiries from field personnel and internal departments. Manage travel amendments, cancellations, delays, and urgent travel requests. Liaise with suppliers to resolve booking issues and discrepancies. Provide timely and professional support to travelling employees. Administration Maintain accurate travel logs, records, databases, and filing systems. Ensure all travel information is current and accessible to relevant stakeholders. Support the development and improvement of travel administration processes. Attend departmental meetings and provide travel updates when required. Undertake additional administrative duties as assigned by the Operations Department. Qualifications, Skills & Experience Essential Strong administrative and organisational skills. Excellent attention to detail and accuracy. Proficient in Microsoft Excel, Word, Outlook, and other office systems. Strong verbal and written communication skills. Ability to manage multiple tasks and changing priorities. Professional and customer-focused approach. Ability to work independently and as part of a team. Preferred Previous experience in travel administration, logistics, operations support, or office administration. Experience reconciling invoices, expenses, or financial records. Knowledge of travel booking platforms and supplier management. Key Performance Indicators Accurate and timely completion of travel bookings. Timely reconciliation of travel-related expenditure. Accurate maintenance of travel records and financial spreadsheets. Effective management of travel enquiries and requests. Compliance with approved supplier and travel booking procedures. Positive feedback from travelling personnel and internal departments.
