Job Description

Job Summary The HR & Administrative Coordinator supports HR operations and broadens administrative functions across the organization. This role is responsible for employee lifecycle coordination - onboarding, offboarding, training logistics, compliance tracking, HR documentation, HRIS administration, and day‑to‑day office administrative activities. The position ensures accurate record‑keeping, smooth HR workflows, timely employee communication, and efficient office operations in alignment with U.S. regulations and company policies. Job Duties and Responsibilities HR Operations & Employee Lifecycle Support Coordinate onboarding and offboarding activities including documentation, orientation scheduling, setup requests, and benefits enrolment support Maintain accurate employee records in Paylocity, ensuring compliance with federal and state regulations. Assist with recruitment activities including job postings, resume screening, interview scheduling, and candidate communication. Track mandatory certifications, trainings, and compliance documentation (I‑9 verification, E‑Verify, etc.). Coordinate performance review cycles, goal‑setting processes, learning and development activities, and other related HR processes. Prepare HR letters and documentation Ensure all HR documents follow controlled processes including templates, revision management, secure storage, and confidentiality protocols. Assist in processing employee lifecycle changes, promotions, transfers, and organizational updates. Assist in gathering HR metrics for reporting (turnover, recruitment status, onboarding progress, etc.). Support internal, external, and customer audits by providing accurate HR compliance documentation. Employee Relations & Engagement Serve as an approachable point of contact for day‑to‑day employee questions. Support HR initiatives including engagement programs, wellness activities, employee recognition events, and company‑wide functions. Administrative Coordination Handle employee queries regarding benefits, attendance, and HR policies. Manage office supplies and coordinate with third‑party manpower or service vendors. Handle incoming calls, emails, and mail correspondence. Support administrative activities related to team members visiting the USA. Assist with travel arrangements, visitor management, and internal communication logistics. Skills and Competencies Highly organized with strong time‑management and follow‑through skills. High attention to detail (documentation accuracy, confidentiality, data integrity). Strong communication skills and ability to coordinate across teams. Customer-service mindset; approachable and employee-focused. Ability to handle sensitive information with professionalism and discretion. Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams). Experience with HR systems/HRIS preferred (Paylocity, ADP, Workday etc.).
Education Requirements:
Associate or bachelor's degree in human resources, Business Administration, or a related field preferred (or equivalent experience).
Experience Requirements:
2-4 years of experience in HR coordination, administrative support, or related HR functions. Understanding of U.S. employment laws and compliance requirements (FMLA, FLSA, EEO, ADA, etc.). Experience supporting recruitment, onboarding, HR documentation, and HRIS administration strongly preferred. Experience in a manufacturing or engineering environment is a plus.
