This position plays an important role in maintaining accurate employee records, supporting recruitment and onboarding and assisting with benefits administration. This role requires strong attention to detail, confidentiality, organization, and the ability to communicate effectively with employees, supervisors, management, and outside vendors. The Human Resources, Safety & Payroll Coordinator must be bilingual in English and Spanish and able to assist with employee communications, translations, forms, and workplace-related questions in both languages. Key Responsibilities / Duties
  • Coordinate onboarding and offboarding processes, including new hire paperwork, employment verification, system updates, file setup, final pay coordination, benefits notices, and related documentation.
  • Maintain accurate and confidential employee, payroll, benefits, and HR records.
  • Assist with recruiting activities, including interview coordination, candidate communication, background checks, and pre-employment requirements.
  • Respond to employee questions regarding policies, procedures, benefits, payroll, timekeeping, and general employment matters.
  • Process and document employee changes, including promotions, transfers, wage changes, schedule changes, and position updates.
  • Support compliance with employment laws, company policies, and internal procedures.
  • Assist with employee relations documentation, including attendance records, corrective actions, investigations, and performance-related documentation.
  • Coordinate with HR, payroll, safety, benefits, legal, or other consultants/vendors as needed to support compliance, resolve employee matters, and improve internal processes.
  • Support process improvements related to HR, payroll, safety, onboarding, records management, and employee communication.
  • Maintain confidentiality and professionalism when handling sensitive employee information.
  • Bilingual Employee Support - English & Spanish
  • Coordinate employee enrollment, changes, and terminations for health, dental, vision, 401(k), and other company-sponsored benefit programs.
  • Assist employees with benefits questions and enrollment processes.
  • Maintain accurate benefits records and coordinate with benefit providers, brokers, payroll providers, and internal departments as needed.
  • Track eligibility dates and ensure required benefits notices and documentation are provided timely.
  • Support annual open enrollment activities, including employee communication, forms, system updates, and follow-up. Safety Responsibilities
  • Support the administration of workplace safety programs, policies, procedures, training requirements, and related compliance documentation.
  • Coordinate safety trainings, toolbox/tailgate meetings, employee acknowledgments, and required safety recordkeeping.
  • Maintain safety training records, inspection forms, incident reports, workplace postings, and safety materials.
  • Conduct or assist with workplace safety inspections, audits, incident investigations, and follow-up on corrective actions.
  • Report safety concerns to management and assist with ensuring employees understand and follow safety policies and procedures.
  • Support workers' compensation claim administration, including incident reports, claim forms, medical documentation, modified duty tracking, and related communication.
  • Other duties as assigned.
Payroll Responsibilities Review timekeeping records for accuracy and follow up on missing punches, meal period issues, overtime discrepancies, and supervisor approvals. Process payroll changes, including new hires, terminations, wage changes, promotions, job changes, deductions, benefits changes, and other employee updates. Maintain accurate records of employee earnings, deductions, hours worked, paid time off, and other payroll-related information. Generate, review, and distribute pay stubs, direct deposit receipts, manual checks, tax forms, W-2s, 1095-Cs, and other payroll-related documents as needed. Respond to employee payroll questions, including pay discrepancies, deductions, tax withholdings, timekeeping, and direct deposit issues. Maintain strict confidentiality of payroll information and employee data. Disburse payroll checks and direct deposit receipts to employees on payday as needed. Ensure payroll practices comply with company policy and applicable wage and hour requirements. Skills and Qualifications Bilingual in English and Spanish required, with the ability to read, write, speak, and translate basic workplace communications in both languages. Strong attention to detail and accuracy, especially with payroll, employee records, and compliance documentation. Ability to maintain confidentiality and handle sensitive employee information with professionalism. Strong organizational and time management skills. Effective written and verbal communication skills. Strong interpersonal skills and ability to work respectfully with employees at all levels of the organization. Ability to explain policies, payroll information, benefits, and workplace procedures in a clear and professional manner. Knowledge of HR practices, benefits administration, and employment documentation. Ability to work independently while also collaborating with management, supervisors, employees, vendors, and consultants. Education and Experience High school diploma or equivalent required. Associate's or bachelor's degree in Human Resources, Business Administration, Accounting, Payroll, or a related field preferred. Minimum of 2 years of experience in human resources. Experience processing payroll strongly preferred. Experience with HRIS, payroll, and/or timekeeping systems preferred. Experience in a bilingual workplace environment preferred. Experience supporting safety programs, workers' compensation, or compliance documentation preferred. Work Environment & Physical Requirements Work is generally performed in an office or administrative work environment, with occasional time spent in operational, production, warehouse, field, or worksite areas depending on business needs. Must be able to sit, stand, walk, bend, and move throughout the workplace as needed. Must be able to use a computer, phone, printer, scanner, and standard office equipment. Must be able to review documents, enter data accurately, and communicate verbally and in writing. May occasionally lift or move office supplies or files weighing up to 25 pounds. Must be able to maintain focus and accuracy while working with deadlines, interruptions, and confidential information. The Company is an equal opportunity employer.
