JOB SUMMARY
The Benefits Administrator is responsible for directing and planning the day-to-day operations of group benefits programs (group health, dental, vision, short-term and long-term disability, worker's compensation, life insurance, flexible spending plan, retirement plans, etc.). The incumbent will continually investigate new benefits programs, improve existing programs, and supervise and monitor benefits administration.
ESSENTIAL JOB FUNCTIONS
The Benefits Administrator focuses on supporting employee benefits administration processes, including benefits enrollment and changes, employee data management, leave and eligibility tracking, compliance support, reporting, and maintaining accurate HRIS/benefits system records. Benefits Administration
  • Administer employee benefits programs including medical, dental, vision, life insurance, disability, retirement, and supplemental benefits.
  • Coordinate and process benefit enrollments, changes, qualifying life events, and terminations.
  • Coordinate daily benefits processing activities and ensure timely and accurate administration of employee benefit plans.
  • Oversee benefits files, records management, and payroll-related benefits updates to ensure accuracy and compliance.
  • Conduct employee benefits orientations and assist employees with benefit-related questions and issues.
  • Provide high-quality customer service and benefits training to employees, retirees, supervisors, and leadership.
  • Develop benefits-related communications, educational materials, and presentations.
  • Assist with annual open enrollment planning and employee communication campaigns. Vendor & Plan Management
  • Research employee benefits plans and vendors to identify programs that provide the best value and align with organizational needs.
  • Design, recommend, and assist in implementing new or enhanced employee benefits programs and wellness initiatives.
  • Negotiate with benefits vendors, brokers, and third-party administrators regarding services, pricing, and plan offerings.
  • Serve as the primary point of contact for benefits vendors, carriers, and plan administrators.
  • Coordinate the transfer and reconciliation of benefits-related data between vendors, payroll, HRIS, and internal departments.
  • Work collaboratively with vendors and consultants to resolve employee claims and coverage issues. Leave Administration
  • Administer leave programs including
FMLA, ADA
accommodations, workers' compensation coordination, and other approved leaves of absence.
  • Track employee leave balances and maintain accurate documentation and records.
  • Coordinate interactive process documentation and employee communications related to leave and accommodations. Compliance & Reporting
  • Ensure compliance with federal, state, and local regulations related to benefits administration, including ACA, COBRA, HIPAA, FMLA, and applicable labor regulations.
  • Assist with ACA tracking, COBRA notifications, annual audits, and required reporting.
  • Analyze benefits program effectiveness, utilization trends, and overall cost to support strategic recommendations and budgeting efforts.
  • Generate reports related to benefits enrollment, leave usage, compliance metrics, and workforce data.
  • Maintain confidentiality and integrity of employee records and HR documentation.

MINIMUM QUALIFICATIONS
Associate's degree in Human Resources, Business Administration, or related field required; Bachelor's degree preferred. Minimum of 3-5 years of experience in benefits administration, HR operations, or related HR support role. Experience administering employee benefit programs and leave management processes. Working Knowledge of FMLA, FLSA, EEO, COBRA, ACA, HIPAA, ADA, and related employment regulations. Experience with HRIS systems and Microsoft Office Suite, particularly Excel. Strong organizational, analytical, and communication skills. Ability to maintain confidentiality and manage sensitive information. Foundational knowledge of basic HR principles
PREFERRED QUALIFICATIONS
Experience within public sector, transportation, unionized, or multi-site environments preferred. Professional certification such as PHR, SHRM-CP, CEBS, or related designation preferred. Experience supporting large hourly or operational workforces.
