We believe in teamwork, continuous improvement, and maintaining the highest standards of quality in everything we do. We are seeking an experienced Payroll & Benefits Specialist to join our team. This role will oversee payroll processing, benefits administration, and HR operational support. The Payroll & Benefits Specialist serves as a key resource for employees and managers, ensuring payroll accuracy, regulatory compliance, effective benefit program administration, and exceptional employee service. The successful candidate will bring strong analytical skills, a high degree of accuracy, and a commitment to continuous process improvement. Key Responsibilities Payroll Administration (50%) Process bi-weekly payroll for field and office employees using ADP Workforce Now. Review, audit, and reconcile payroll data to ensure accuracy and compliance. Administer wage garnishments, child support orders, and other payroll deductions. Coordinate with supervisors and managers to resolve timekeeping and payroll discrepancies before payroll processing. Generate payroll reports, dashboards, and reconciliations for HR and audit purposes. Maintain payroll calendars, internal controls, and payroll procedures. Ensure compliance with California wage and hour laws, payroll tax regulations, and reporting requirements. Support year-end payroll processes, including W-2 preparation, quarterly filings, and payroll audits. Collaborate with HR partners to troubleshoot payroll issues, maintain system configurations, and improve workflows. Maintain strict confidentiality of payroll and employee information. Benefits Administration (20%) Administer employee benefit programs, including medical, dental, vision, life insurance, voluntary benefits, and 401(k) plans. Serve as the primary point of contact for employee benefit inquiries and issue resolution. Coordinate life event changes, terminations, and eligibility audits. Manage COBRA, ACA, HIPAA, ERISA, and related compliance requirements. Partner with HR Manager, benefits brokers and vendors to ensure efficient administration and compliance with benefit programs. Support open enrollment planning, employee communications, system testing, and implementation activities. Coordinate employee wellness initiatives such as health screenings, benefit fairs, flu shot clinics, and employee education programs. Monitor vendor performance and recommend process improvements to enhance employee experience. Support benefits audits, reporting requirements, and special projects as assigned. HR Operations (30%) Provide backup support to leave programs, including
FMLA, ADA
accommodations, and other protected leaves.
  • Serve as a contact for employee questions regarding policies, procedures, benefits, and HR programs.
  • Promote a positive work environment through employee engagement, recognition, and culture-building initiatives. Participate in special projects, new plan implementations, and cross functional initiatives as assigned.
  • Perform other duties and special projects as assigned.
Qualifications Required High School Diploma or GED 3+ years of hands-on experience processing payroll in ADP Workforce Now (or similar payroll software), including payroll audits, reporting, troubleshooting, and employee data maintenance. Proficient in Microsoft Excel, Outlook, Teams, and PowerPoint Strong analytical, organizational, and problem-solving skills Excellent attention to detail and commitment to accuracy Exceptional customer service, communication, and interpersonal skills Knowledge of California wage and hour laws and payroll compliance requirements Ability to manage multiple priorities while maintaining confidentiality and compliance Preferred Associate's degree in Human Resources, Business Administration, Accounting, or a related field Working knowledge of benefit regulations including FMLA, ADA, ACA, COBRA, HIPAA, and EEOC Benefits administration, wellness program management, and HRIS experience Benefits & Compensation The company intends to offer the selected candidate a base pay range of $30.00 - $42.00 hourly. Actual offers will be based on a variety of factors, including experience.
