Immediately Job Description Purpose Statement The job of Employee Benefits Assistant is done for the purpose/s of supporting the administration of employee benefits programs for the school district; processing enrollments and changes accurately and timely; maintaining confidential benefit records; and providing responsive customer service to employees, retirees, dependents, providers, and/or administrators. This job reports to the Employee Benefits Coordinator Essential Functions Assists with the administration of district benefit programs including medical, dental, vision, life, disability, retirement, and voluntary benefits for the purpose of supporting accurate enrollment and employee access to benefits. Processes benefit enrollments, changes, and terminations in HRIS/benefits systems for the purpose of ensuring timely and accurate eligibility and payroll deductions. Supports new hire onboarding and benefits orientation for the purpose of communicating benefit options and required actions. Assists with annual open enrollment preparation and implementation for the purpose of ensuring accurate materials, employee communications, and event coordination. Coordinate and conduct benefits fair outreach, Medicare information meetings, and appointment setting for special events. Maintains accurate and confidential employee benefit records for the purpose of providing an up-to-date reference and audit trail. Prepares and distributes benefit materials, forms, and notices for the purpose of providing information and proof of coverage. Responds to employee and retiree inquiries in person, by phone, and by email for the purpose of providing courteous front-line customer service and timely issue resolution. Tracks qualifying life events and ensures proper documentation is received for the purpose of maintaining compliance and accurate changes. Supports COBRA administration and retiree benefits processing for the purpose of ensuring accurate eligibility and required notices. Assists with monthly invoice review and reconciliation and researches discrepancies for the purpose of ensuring accurate billing and records. Coordinates routine communication with carriers, vendors, and third-party administrators for the purpose of verifying eligibility, conveying information, and resolving issues. Generates routine reports related to benefits enrollment and eligibility and assists with audits and compliance documentation for the purpose of supporting reporting requirements. Other Functions Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
Job Requirements:
Minimum Qualifications Skills, Knowledge and Abilities SKILLS are required to perform single, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment; utilizing HRIS/benefits and payroll software applications; preparing and maintaining accurate records; organizing files and documentation; providing customer service to employees and retirees; and supporting projects such as open enrollment and benefit communications.
KNOWLEDGE
is required to perform basic math; read and follow technical information and procedures; compose a variety of documents and correspondence; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: basic principles and terminology of employee benefits; confidentiality and privacy practices; standard office practices and procedures; and pertinent district policies and benefit plan guidelines. ABILITY is required to schedule activities and appointments; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; follow established processes with attention to detail; and operate equipment using standardized methods. Ability is also required to work with a wide diversity of individuals; work with a variety of data; and utilize job-related equipment. Problem solving is required to identify issues and seek resolution or referral. Problem solving with data may require independent interpretation of guidelines; and problem solving with equipment is limited to moderate. Specific ability based competencies required to satisfactorily perform the functions of the job include: communicating with diverse groups; meeting deadlines and schedules; maintaining confidentiality; working with constant interruptions; working with detailed information/data; and working as part of a team. Responsibility Responsibilities include: working under limited supervision following standardized practices and/or methods; supporting benefits processes and reconciliations; and assisting with the coordination of benefit-related projects. Utilization of resources from other work units is often required to perform the job's functions. There is some opportunity to impact the organization's services. Working Environment The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some climbing and balancing, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 90% sitting, 5% walking, and 5% standing. The job is performed in a generally hazard free environment.
Experience:
Job related experience is preferred (typically 1-3 years of clerical, HR, or benefits-related experience).
Education:
High school diploma or equivalent is required; associate degree in Business, Human Resources, or related field is preferred.
Equivalency:
Equivalent combination of education and experience may be considered.
